Job Overview
We are seeking a professional and organized Front Desk Receptionist to join our team. This role is vital in creating a welcoming environment for clients and visitors while efficiently managing administrative tasks. The ideal candidate will possess strong communication skills, proficiency in office management tools, and experience in customer service. Bilingual abilities are a plus, as well as familiarity with medical or dental office procedures. This position offers an opportunity to be the first point of contact, ensuring smooth daily operations and excellent customer support.

Responsibilities

  • Greet clients and visitors warmly, providing exceptional customer service
  • Manage multi-line phone systems, directing calls appropriately and maintaining phone etiquette
  • Schedule appointments and manage calendar appointments using Google Workspace or Microsoft Office tools
  • Perform data entry, filing, and maintain accurate records using QuickBooks or other office management software
  • Handle correspondence via email and phone, ensuring clear communication and professionalism
  • Assist with administrative tasks such as proofreading documents, organizing files, and supporting office operations
  • Support bookkeeping activities including basic invoicing and record keeping
  • Maintain a clean and organized front desk area to promote a professional environment
  • Provide support as a personal assistant or medical/dental receptionist as needed

Requirements

  • Proven experience in office management, clerical work, or reception roles, preferably in medical or dental settings
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry skills
  • Familiarity with QuickBooks and bookkeeping practices is desirable
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Exceptional phone etiquette and customer service skills; bilingual abilities are a plus
  • Ability to handle confidential information discreetly and professionally
  • Strong typing skills and attention to detail for proofreading and data accuracy
  • Prior experience with office equipment such as multi-line phone systems and office management software is preferred
  • High school diploma or equivalent; additional administrative or personal assistant experience is advantageous

Pay: $18.00 - $22.00 per hour

Work Location: In person
