Job Summary:
The Event Coordinator will assist in coordinating all aspects of events from conception to completion. This role involves liaising with clients, vendors, and internal teams to ensure that events are executed smoothly, on time, and within budget. The successful candidate will possess excellent communication, organizational, and problem-solving skills, along with a passion for creating memorable experiences.
Key Responsibilities:
- Collaborate with clients to understand their needs, preferences, and objectives for each event
- Assist in developing event concepts, themes, and budgets
- Source and coordinate with vendors, venues, caterers, decorators, and other service providers
- Manage event logistics, including scheduling, setup, and breakdown
- Create detailed event plans, timelines, and checklists
- Coordinate with internal teams to ensure all aspects of the event are aligned and executed properly
- Oversee event setup and ensure all elements are in place according to plan
- Handle on-site coordination during events, troubleshooting issues as they arise
- Ensure health and safety regulations are followed
- Maintain relationships with vendors and clients for future collaborations
- Monitor and report on event progress and post-event evaluations
- Manage budgets, invoices, and payments related to events
- Stay updated on industry trends and best practices to continually improve event quality
Requirements:
- Proven experience in event planning, coordination, or a related role
- Strong organizational and time-management skills
- Excellent communication and interpersonal skills
- Ability to multitask and work under pressure
- Attention to detail and problem-solving abilities
- Flexibility to work evenings, weekends, and holidays as needed
- Proficiency in event management software and MS Office Suite
- Bachelor’s degree in Hospitality, Event Management, Marketing, or related field preferred
