Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring our office runs smoothly and efficiently. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, ready to provide exceptional customer service and manage a variety of clerical tasks. In this position, you will be the first point of contact for visitors and callers, while also supporting daily office operations with professionalism and enthusiasm. This paid role offers an exciting opportunity to develop your administrative expertise in a fast-paced environment. Hours are Monday 7a-3:30pm and Tuesday-Friday 10a-6:30pm.

Responsibilities

  • Greet visitors warmly, direct them appropriately, and ensure a positive first impression of the organization
  • Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills
  • Handle incoming calls, take messages, and transfer calls efficiently using proper communication protocols
  • Maintain organized filing systems, perform data entry tasks, and ensure accurate record keeping using Microsoft Office and Google Workspace tools
  • Assist with calendar management, appointment scheduling, and coordinating meetings for staff and executives
  • Support office management duties such as ordering supplies, managing inventory, and overseeing general administrative functions
  • Perform clerical tasks including proofreading documents and managing correspondence

Experience

  • Previous office experience or administrative support background is highly preferred
  • Proven experience in customer service roles with strong interpersonal skills
  • Familiarity with multi-line phone systems, front desk operations, and office management practices
  • Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), data entry, and medical scheduling software
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Experience in medical or dental reception is advantageous but not required; training will be provided for specific industry needs
