Position Description: Bookkeeper & Office Administrator FLSA Class: Non exempt

As the Bookkeeper & Office Administrator at Primo Partners, you are both the guardian of our financial integrity and the engine behind our operational excellence. In addition to managing accurate financial records, accounts payable, and receivable, you will oversee administrative systems, office policies, and cross-departmental workflows. This dual role is critical to ensuring both financial compliance and efficient day-to-day operations across our organization.This role requires 5 days per week in the office to facilitate team collaboration and access to on-site resources.

We’re looking for a meticulous and proactive professional who can balance financial management with administrative leadership, aligning with our ethos of serving up excellence, hospitality, and growth.

Key Performance Outcomes:

  • Drive business performance by managing financial records, accounts payable and receivable, and operational costs.

  • Oversee implementation and compliance of office policies to align with company objectives.
  • Improve efficiency by managing and optimizing cross-departmental administrative processes.
  • Ensure high-quality vendor and service provider relationships through cost-effective contract management.
  • Support employee success by coordinating cross functional processes.
  • Enhance company culture and operational excellence through strong administrative systems and resource management.

Key Responsibilities:

Financial Management

  • Full-time management of bookkeeping tasks with flexible availability, including nights, weekends, and holidays.

  • Oversee the integration, training, and development of financial processes and systems.
    Maintain operational excellence in all bookkeeping activities.
  • Implement strategic financial plans as directed by upper management.

Office & Administrative Operations

  • Oversee the implementation and management of office policies, ensuring compliance and alignment with company objectives.

  • Manage cross-departmental administrative processes to improve efficiency and workflow coordination.
  • Monitor and optimize the use of office resources, including technology, supplies, and facilities.
  • Serve as a liaison between departments, executives, and external partners to facilitate communication and project alignment.
  • Partner with HR or leadership to implement new administrative systems, policies, or tools.
  • Assist in the onboarding and offboarding of employees, ensuring administrative readiness and efficiency.
  • Coordinate and set up company and conference meetings, including preparing agendas, organizing materials, and managing logistics.
  • Manage general office upkeep, including ordering supplies, maintaining equipment, and ensuring the office is clean and functional.
  • Oversee administrative tasks such as filing, recordkeeping, and document management.
  • Act as the first point of contact for office visitors, deliveries, and general inquiries.
  • Support team members with administrative needs, including scheduling, correspondence, and travel arrangements.
  • Ensure compliance with office policies and assist with creating new procedures to improve company operations.
  • Other duties as assigned.

Qualifications

  • Proven experience in bookkeeping, office management, and administrative leadership.

  • Strong attention to detail, communication, and organizational skills.
  • Ability to multitask and balance financial and operational responsibilities.
  • Passion for community service and brand representation.
