We are seeking an entry-level Property Assistant for a dynamic role offering diverse responsibilities each day in a collaborative and supportive team environment. This position is based in-person at Prime West’s corporate office in the Denver Tech Center and supports a portfolio of Class A and B office and mixed-use assets in the Denver metro region.
Salary Range: $25.00 to $28.00 per hour, commiserate with experience.
Essential Job Duties:
- Answer the general phone line and retrieve mail daily.
- Assist Property Managers with preparing and managing property-related documents—such as memoranda, letters, and proposals—using company software tools (spreadsheets, word processing, and graphics). Ensure timeliness and accuracy of documents.
- Route tenant service requests to property technicians and follow up with tenants or property managers as needed.
- Manage documentation and reporting systems, including vendor insurance certificates, service agreements, invoices, tenant contact lists, and access management records.
- Coordinate with service providers and prepare service contracts.
- Assist Property Managers in gathering information necessary for annual budget preparation.
- Process and code vendor, RE Tax and other property invoices. Date stamp, code/process for Property Manager review/approval.
- Organize and schedule meetings, including tenant reservations for training and conference rooms; maintain calendars and prepare rooms as needed.
- Support monthly billing, tenant billing adjustments, and collections of rent and other receivables.
- Perform other duties as assigned.
Skills, Education, and Experience:
- Bachelor’s Degree or High School Diploma/General Education Degree (GED)
- Proficient in MS Word, MS Excel, email, and basic internet research
- Ability to work independently with supervision.
- Strong organizational skills with the ability to prioritize workload and meet deadlines efficiently.
- Consistently punctual in meeting work schedules and deadlines; communicates proactively if delays occur.
- Strong analytical skills with a proactive approach to problem-solving.
- Ability to remain professional under challenging circumstances, both on the phone and in person.
- Excellent interpersonal and communication skills, including strong business vocabulary and grammar.
- Discretion regarding personnel and industry-related matters.
- Strong attention to detail, including proofreading and editing.
