Job Title: Medical Support Assistant (MSA)

Site: VA Puget Sound Health Care System (VAPSHCS)
location: Various VAMCs and Community-Based Outpatient Clinics (CBOCs) within VAPSHCS — specific facility distribution directed by VAPSHCS
Duration: 1 year contract 4 Option Years
Shift Schedule: Monday – Friday, 8:00 AM – 4:30 PM
Pay rate: $20/hr on W2 ( $5 H&W)
Credentialing / Onboarding time: 6–8 weeks
Special Skills needed:
- Proficiency with VA scheduling systems (Electronic Waiting List, CPRS/EHRM)
- Community Care consult intake and processing
- Customer service and telephone etiquette
- Data/documentation accuracy (≥98% integrity standard)
- Scheduling timeliness (≤7 calendar days from File Entry Date)
- Productivity targets: 37 touches/day, 10 resolutions/day
- Voicemail returned within 24 hrs; urgent IM within 5 min
Responsibilities:
- Perform full range of receptionist and administrative duties across clinic/ward settings
- Manage appointment scheduling using VA electronic systems and Electronic Waiting List
- Process Community Care consult intake; outreach to Veterans and community providers; schedule appointments; escalate per VHA Directives/SOPs
- Validate and update patient demographic and insurance information
- Collect, scan, and update third-party health insurance information
- Conduct daily review of active/pending consults, wait lists, recall lists, and Audio Care communications
- Ensure correct Veteran identification using two forms of ID (name full SSN)
- Enter all health/administrative information into CPRS or EHRM accurately
- Screen and route phone calls; address patient concerns within 24–72 hrs
- Adjust appointment times, locations, or dates per clinic access contingency plans
- Collaborate with interdisciplinary care teams including VA and non-VA specialists
- Comply with HIPAA, VA privacy, cybersecurity, and records management requirements
- Complete required security training and maintain VA PIV badge
