SUMMARY OVERVIEW
The Scheduling Manager is responsible for developing, maintaining, and optimizing employee schedules to ensure operational coverage aligns with customer requirements and business needs. This role partners closely with Operations, HR, Payroll, and station leadership to ensure accurate scheduling, timely updates, and effective workforce planning. The Scheduling Manager oversees scheduling processes, resolves scheduling issues, provides reporting, and ensures compliance with company standards and customer expectations. This position also supports attendance tracking, new-hire scheduling, and time and attendance accuracy across assigned stations.
RESPONSIBILITIES
- Develop and maintain detailed schedules for employees across assigned stations
- Ensure schedules align with customer expectations, service level agreements, and operational needs
- Partner with Operational VPs, GMs, and station leaders to strategize staffing for daily, weekly, and seasonal requirements
- Maintain best scheduling practices across stations and resolve scheduling issues in a timely manner
- Run daily reports to ensure employees are working accurate schedules that match UTA
- Process schedule changes and updates in UTA and SharePoint
- Maintain and update the No Call/No Show log daily to identify issues and support disciplinary processes
- Partner with HR teams to support new-hire onboarding schedules, payroll adjustment forms, and orientation scheduling
- Coordinate quarterly mass schedule updates with Operations and HR to align with customer requirements
- Identify scheduling inefficiencies and collaborate with senior leaders to implement process improvements
- Prepare and distribute daily headcount summaries and workforce reports
- Research payroll discrepancies and collaborate with the Payroll team to prevent errors and improve accuracy
- Manage reporting tools used by HR and Operations for attendance, scheduling accuracy, and workforce trends
- Support the generation of zero-hours reporting, historical data tracking, and accurate file documentation
- Prepare and present scheduling and operational reports to senior leaders
- Support shift pattern creation, mass schedule updates, and daily adjustments for specific contracts or business units
- Perform UTA audits to ensure scheduling accuracy and compliance
- Utilize Excel to build pivot tables and reporting dashboards for staffing, attendance, and headcount analysis
- Run time and attendance reports for missing punches, overtime, double time, and meal violations
- Support legal and regulatory requests requiring detailed payroll and timesheet data
- Lead and develop a small team of schedulers or scheduling support staff (if applicable)
- Perform any additional duties as assigned by management
QUALIFICATIONS
- 18 years of age or older
- Eligible to work in the United States
- Ability to read, write, speak, and understand English
- Experience with scheduling systems; UTA/UKG experience required
- Proficiency in Excel, including building pivot tables and combining multiple data sources
- Knowledge of SharePoint, Microsoft Suite, and timekeeping systems
- Strong analytical, organizational, and problem-solving skills
- Experience supporting or partnering with operations, HR, and payroll teams
- Ability to multitask and manage multiple priorities in a fast-paced environment
- Excellent communication and interpersonal skills
- Strong attention to detail and accuracy
- Pass a background check and drug screen
- Must be flexible to work extended hours on occasion to support operational needs
