- Manage outbound calls to schedule, confirm, and reschedule patient appointments across multiple clinics and specialties.
- Review and verify medical documentation, including care plans, medical records, and billing information for accuracy and completeness.
- Utilize EHR systems to update patient information and document interactions.
- Ensure compliance with HIPAA regulations by maintaining patient confidentiality during all interactions.
- Assist with administrative tasks such as filing, data entry (including 10 key typing), multi-line phone handling, and managing office correspondence.
- Support front desk operations by providing excellent patient service with professional phone etiquette and clerical support.
- Collaborate with clinical staff to facilitate appointment scheduling aligned with provider availability and patient needs.
- Maintain accurate documentation review processes to support billing accuracy and compliance standards.
- Proven experience in medical scheduling or administrative support within a healthcare setting; clinic office experience in a physical therapy or chiropractic office preferred.
- Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel), typing (10 key), and office management software like eClinicalWorks or Dentrix.
- Excellent organizational skills with attention to detail for documentation review and data accuracy.
- Ability to communicate effectively via phone with patients and providers; bilingual skills are a plus.
- Prior experience in a healthcare administrative role involving patient service, front desk operations, or health information management is highly desirable.
- Knowledge of HIPAA regulations to ensure confidentiality and security of protected health information (PHI).
