What are the responsibilities and job description for the State Testing Coordinator position at Primavera Online School?
Position Summary:
The District Testing Coordinator manages operational and compliance aspects of all state-mandated tests for Primavera Online School. The role ensures testing systems are implemented securely, on time, and in alignment with state and federal requirements. The District Testing Coordinator works in collaboration with, and under the direction of, school leadership to ensure that testing processes support students, families, and staff effectively while meeting compliance standards.
Primary duties and responsibilities:
- Completing statewide testing pre-test workshops or trainings, as mandated for the specific test administrations. Ensure knowledge transfer with appropriate personnel; Trains staff in appropriate state testing procedures (prior to each test administration).
- Conducting staff training and assisting faculty at all testing sites, as mandated for the specific test administrations.
- Serving as a liaison between the Arizona Department of Education, district or charter personnel, and current test contractor(s).
- Scheduling testing activities within the school and ensuring that State Assessments are completed within the published testing windows. Per state policy, test windows are not extended.
- Coordinating the provision of testing accommodations documented in an Individualized Education Program (IEP) or 504 Plan by collecting accommodations needed for students, submitting for additional accommodations, arranging resources, and communicating requirements for test administrators.
- Ordering of all required test materials as needed.
- Maintaining and monitoring the security of all assessment materials.
- Coordinating, distributing, and collecting all test materials for the school.
- Monitoring test administration and being available in person and virtually throughout the duration of the test windows.
- Checking the Arizona Department of Education Assessments websites and testing portals regularly for testing updates and due dates.
- Understand the laws, rules, and requirements of state- and federally-required testing
- Understand the purpose(s) of each assessment.
- Communicate at regular intervals with appropriate staff in preparation for testing.
- Communicate assessment resources (webinars, livebinder, Google Sites newsletters, etc.) with staff in a timely manner.
- Creates test security plans and Test Administration Plans and documents needed for implementation of the plan; Monitors state testing to ensure all regulations and rules are followed; Investigates and prepares reports for reported test irregularities;
- Develops communications to parents and staff regarding state testing;
- Maintains files and data of assigned State testing results and disseminates results immediately upon availability.
- Works with School Operations Manager to update and maintain the Testing Database; Maintains testing planning and tracking tools throughout the year;
- Tracks student accommodations for Special Education, 504, and general education students.
- Maintain regular communication with directors, administrators, and instructional staff to ensure readiness.
- Ensure State and Federal Compliance
Logistics & Operations:
Research and secure facilities statewide for in-person testing; manage deposits, contracts, and cancellation timelines.
Track enrollment, order testing materials, and ensure accuracy of distribution.
● Oversee test-day logistics, including accommodations for staff (lodging, per diem, reimbursements) and FRD-qualified student/family transportation reimbursements.
● Oversee processes for sorting, packing, and shipping materials to testing sites; regularly inventory and order non-secure supplies.

Monitoring & Data:
● Maintain testing calendars, SOPs, and planning tools to ensure accountability.
● Track student participation and completion rates for state and benchmark assessments; flag anomalies or irregularities for review.
● Maintain files and records of state testing results for compliance purposes.
● Support data aggregation in consultation with school leadership to ensure accuracy and alignment with organizational needs.
