Primary Services is excited to announce the role of C-Suite Executive Assistant for our client, a large chemical manufacturing organization with a complex, fast-paced operational footprint. This role supports the Chief Executive Officer and provides additional administrative support to the Chief Financial Officer, the Vice President of Human Resources, and the General Counsel. The C-Suite Executive Assistant is a key partner in keeping executives aligned, improving operational efficiency, and ensuring smooth communication across leadership functions.
Responsibilities
- Manage the CEO’s complex calendar, prioritizing meetings, engagements, and time-sensitive commitments.
- Coordinate domestic and international travel arrangements, detailed itineraries, and expense reporting.
- Prepare executive-level presentations, reports, and briefing materials for leadership and board use.
- Draft, review, and distribute correspondence on behalf of the CEO with accuracy and discretion.
- Track key initiatives, action items, and deliverables to ensure follow-through across departments.
- Support planning and execution of board meetings, including agendas, materials, and logistics coordination.
- Maintain corporate governance records and support compliance documentation requirements.
- Facilitate communication between executive leadership and internal/external stakeholders.
- Coordinate leadership meetings, town halls, and company-wide communications.
- Partner with senior leaders to develop dashboards and reporting for executive review.
- Oversee administrative workflows for the CEO’s office, including expenses, budgets, and vendor invoices.
- Act as liaison with building management for operational and facility-related needs.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or related field preferred.
- 10 years of experience supporting senior executives in manufacturing, chemical, or industrial environments.
- Proven experience supporting a CEO or C-suite executive.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Experience with collaboration platforms such as Microsoft Teams and SharePoint.
- Strong background in calendar management, executive travel coordination, and expense reporting systems.
- Experience preparing board-level materials and supporting corporate governance processes.
- Ability to handle confidential business, legal, and personnel information with discretion.
- Familiarity with executive-level reporting tools and document management systems.
Salary : $80,000 - $110,000
