As our Administrative Assistant, you are the heartbeat of our office. You will bridge the gap between our field technicians, insurance adjusters, and homeowners to ensure every recovery project stays on track.
Key Responsibilities:
- Coordination Hub: Manage high-volume incoming calls and coordinate complex scheduling for restoration project managers and field technicians.
- Claims Management: Process and organize insurance claim documentation and maintain accurate, up-to-date digital client files.
- Financial Support: Assist with billing, invoicing, and basic bookkeeping tasks to keep financial operations running smoothly.
- Client Liaison: Serve as the primary point of contact for homeowners and adjusters, providing empathetic and professional project updates.
- Office Management: Maintain a professional front-office environment, including managing correspondence and ordering supplies.
What You Bring to the Table
- Experience: 1–2 years of experience in an office administrative role (Construction or Restoration experience is a major plus!).
- Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and a readiness to learn industry-specific software.
- Communication: Exceptional verbal and written skills for professional interaction with vendors and clients under stress.
- Organization: A "multitasking pro" who can prioritize tasks effectively in a high-energy setting.
- Physical Requirements: Ability to remain stationary for extended periods and perform repetitive office tasks.
- Education: High school diploma or equivalent required.
