About the Role
We are looking for a full-time Executive Assistant opportunity supporting the CEO and office staff in a fast paced, high visibility environment.
Responsibilities
Administrative Support
- Serve as the CEO’s right hand, managing a highly complex and ever-changing calendar while ensuring the executive’s time is protected and priorities remain aligned.
- Coordinate all aspects of domestic and international travel including detailed itineraries, bookings, accommodations, and transportation.
- Partner closely with the CEO to anticipate needs, track priorities, and ensure preparation for meetings, deadlines, and key commitments.
- Support board meetings and leadership meetings by preparing agendas, briefing materials, and follow up documentation.
- Handle highly confidential information related to company strategy, acquisitions, and partnerships.
- Draft executive correspondence and materials with strong attention to clarity and tone.
Operations & Workplace Experience
- Support with HR initiatives from time to time as requested including special projects and event coordination.
- Serve as the primary liaison with onsite workplace services, facilities, security, and IT to ensure seamless day-to-day operations within our shared office environment.
- Manage mail, deliveries, guest registration, and conference room coordination to deliver a polished, investor-ready experience.
- Troubleshoot basic AV and technology issues and escalate efficiently when needed.
Hybrid & In-Office Coordination
- Support a flexible hybrid model; in-office presence will align with business needs (for example, investor meetings, client visits, visiting partners, team collaboration days).
- Coordinate space usage, meeting logistics, and hospitality for partner, portfolio, and investor engagements.
Qualifications
Required
- 3-5 years’ experience supporting a CEO, Founder, Chairman, or other C-suite executive in a fast paced corporate environment.
- Exceptional calendar management and organizational skills with the ability to manage competing priorities.
- Proven ability to act as an effective gatekeeper and protect executive time.
- Strong communication skills with the confidence to interact with senior leadership and external stakeholders.
- Experience managing complex domestic and international travel.
- Proficiency with Microsoft Office, Google Workspace and executive scheduling tools.
Preferred
- Working proficiency of the Italian language.
- Exposure to AI models is a plus (Copilot, ChatGPT, Claude, etc.).
Pay range and compensation package
Salary range: $70K-$80K
