Position Overview
We are seeking a polished, dependable, and client-focused Client Care Receptionist to serve as the first impression of our hospital. This role is ideal for someone who thrives in a fast-paced, team-oriented environment and takes pride in delivering an elevated client experience.
You will play a key role in communication, organization, and workflow coordination—helping ensure each client and patient receives seamless, attentive service from the moment they contact us.
Key ResponsibilitiesClient Experience
- Greet clients warmly and professionally, creating a welcoming and organized environment
- Provide clear, confident communication in person and over the phone
- Deliver a concierge-level experience while maintaining efficiency
Phone & Communication Management
- Manage a high-volume, multi-line phone system
- Answer client questions accurately and route calls appropriately
- Utilize communication tools (phone, text, app-based systems) effectively
Scheduling & Coordination
- Schedule, confirm, and manage appointments with attention to detail
- Coordinate doctor, grooming, and boarding schedules
- Ensure appointments are booked appropriately based on patient needs
Administrative Duties
- Maintain accurate patient records and data entry
- Process invoices, payments, and basic financial transactions
- Support daily front desk organization and workflow
Team Support
- Communicate effectively with technicians and doctors to ensure smooth operations
- Assist with administrative tasks and maintain a clean, professional reception area
Qualifications
- Previous experience in a veterinary, medical, or dental front office preferred
- Strong communication skills with a polished and professional demeanor
- Ability to multitask and remain composed in a fast-paced environment
- High attention to detail and strong organizational skills
- Comfortable with computers, scheduling software, and client communication tools
