Job Description/Summary
Processing payroll for all PBHG employees, ensuring accuracy, compliance, and timeliness. Serve as a liaison between HR and Finance to handle payroll-related inquiries, data changes, and reconciliations. Maintain payroll records, perform audits, and support year-end and tax activities.
Responsibilities
- Payroll Processing Collect and review timesheet / timekeeping data. Enter payroll data (earnings, wages, benefits deductions, garnishments) into payroll system. Process payroll run and ensure accurate and timely disbursement (direct deposit, checks).
- Compliance & Taxes Calculate and withhold federal, state, and local taxes. Monitor payroll deductions (benefits, garnishments) and maintain correct withholding. Prepare and submit payroll tax reports as needed.
- Reporting & Reconciliation Reconcile payroll data with general ledger. Prepare monthly, quarterly, and annual payroll reports. Perform variance analysis and resolve discrepancies.
- Employee Support Address employee payroll queries regarding paychecks, withholding, time-off, etc. Coordinate with HR on onboarding/offboarding to ensure payroll records are updated (new hires, terminations, changes).
- Year-End & Audits Support W-2 / year-end payroll activities. Assist with internal or external audits related to payroll. Maintain confidential payroll documentation and audit trails.
- System Administration Maintain and update payroll system with new deduction codes, pay types, etc. Implement payroll best practices and process improvements.
- Education: High school diploma required; Associate’s or Bachelor’s in Accounting, Finance, or similar preferred.
- Experience: 1 years of payroll experience (preferably in non-profit or behavioral health).
- Proficiency with payroll systems ( ADP) and MS Excel.
- Strong knowledge of federal/state payroll regulations.
- Excellent attention to detail and strong analytical skills.
- Good communication skills (verbal and written).
- Confidentiality and integrity when handling sensitive payroll data.
- Ability to work under deadlines and multi-task.
