Position Title: Fleet Manager

Reports To: Operations Manager / Owner

Department: Fleet & Safety Operations

FLSA Status: Exempt

Compensation & Benefits

The anticipated pay range for this position is $95,000 - $130,000/year. Precision Underground also offers a comprehensive benefits package, including health, dental, vision, retirement, paid time off, and other benefits.


Position Summary

The Fleet Manager is responsible for overseeing Precision Underground’s fleet operations and ensuring compliance with all Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA), and Occupational Safety and Health Administration (OSHA) regulations. This position manages driver qualification files, vehicle inspection and maintenance programs, drug and alcohol compliance, IFTA/IRP reporting, and overall fleet safety. The Fleet Manager also partners with Operations and HR to support construction projects, minimize risk, and maintain audit-ready compliance across multi-state operations.

Employees must maintain compliance with all company policies, federal and state labor laws, DOT regulations, OSHA standards, Equal Employment Opportunity (EEO), Americans with Disabilities Act (ADA), and Affirmative Action Program requirements.


Essential Functions & Responsibilities

DOT & Compliance

·        Maintain and audit Driver Qualification Files (CDL, medical certifications, MVRs, training records).

·        Administer DOT drug and alcohol testing program in accordance with 49 CFR Part 382.

·        Monitor Hours of Service (HOS) and electronic logging device (ELD) compliance.

·        Ensure compliance with vehicle inspection, repair, and maintenance standards (49 CFR Part 396).

·        File and maintain IFTA quarterly fuel tax returns and IRP apportioned registrations.

·        Manage accident reporting, investigation, and required FMCSA documentation (49 CFR 390.15).

Fleet Operations

·        Develop and manage a preventive maintenance program for vehicles and equipment.

·        Coordinate with mechanics and vendors to schedule inspections, repairs, and services.

·        Maintain accurate logs and reports for fleet use, safety inspections, and fuel usage.

·        Oversee vehicle licensing, titling, permitting, and insurance compliance.

·        Manage fuel cards, GPS/telematics systems, and cost tracking for efficiency.

Safety & Risk Management

·        Serve as primary contact for DOT audits, roadside inspections, and compliance reviews.

·        Conduct accident investigations and coordinate corrective action plans.

·        Partner with HR/Safety team to provide driver coaching, training, and compliance meetings.

·        Monitor OSHA requirements related to fleet and construction operations.

Leadership & Administration

·        Supervise administrative staff or fleet personnel, as assigned.

·        Provide compliance and cost reports to company leadership.

·        Recommend and implement process improvements for fleet safety, compliance, and cost savings.

·        Coordinate with Operations, HR, and Payroll to ensure compliance in driver records and fleet management systems.


Knowledge, Skills & Abilities

·        Strong knowledge of FMCSA/DOT regulations (Parts 382, 383, 390–396).

·        Understanding of construction safety standards and OSHA requirements.

·        Proficiency with fleet management, ELD, and compliance software.

·        Excellent organizational, recordkeeping, and reporting skills.

·        Strong leadership, communication, and teamwork abilities.

·        Ability to interpret regulations and apply them to daily operations.


Minimum Qualifications

·        High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.

·        3–5 years of experience in fleet management, DOT compliance, or transportation operations (construction/utilities industry preferred).

·        Valid driver’s license; CDL preferred.

·        Ability to pass pre-employment drug screen and DOT physical (if applicable).

·        Prior experience with IFTA/IRP reporting, vehicle maintenance programs, and compliance audits.

Preferred Certifications (Not Required)

·        NATMI Certified Director of Safety (CDS) or Certified Safety Supervisor (CSS).

·        OSHA 10/30 Safety Certification.

·        DOT/FMCSA compliance training (e.g., JJ Keller, state trucking associations).


Working Conditions & Physical Requirements

·        Work is performed in both office and field environments.

·        Regional travel to job sites, DOT offices, and maintenance facilities required.

·        Must be able to lift up to 25 lbs. and perform physical inspections of vehicles/equipment.

·        Flexible schedule required to respond to roadside inspections, accidents, or emergencies.

·        Required use of personal protective equipment (PPE) per OSHA and company standards.

Employment with Precision Underground Utilities LLC is at-will unless otherwise specified in a written agreement signed by both the employee and Precision Underground Utilities LLC. This means that either the employee or Precision Underground Utilities LLC may terminate the employment relationship at any time, with or without cause or notice, in compliance with applicable law.
