Job summary
The HR Onboarding Specialist is responsible for ensuring a smooth and positive employee onboarding experience — from the moment a candidate accepts an offer through their successful integration into the company. This role works closely with hiring managers, recruiters, and leadership to manage new hire documentation, orientation programs, and initial training processes.
The ideal candidate is highly organized, detail-oriented, and dedicated to creating a welcoming and efficient onboarding journey that supports employee engagement and retention.
Primary responsibilitiesOnboarding coordination
- Manage all activities related to new hire onboarding, including pre-boarding logistics and day-one preparation.
- Schedule and facilitate orientation sessions to introduce company culture, policies, and procedures.
- Ensure new hires complete all required paperwork, benefits enrollment, and system access setups.
Communication and support
- Serve as the main point of contact for new employees prior to and during their first weeks of employment.
- Provide ongoing support for hiring managers to ensure onboarding consistency and compliance.
- Communicate onboarding timelines and expectations clearly to all stakeholders.
Systems and documentation
- Maintain accurate employee records in HRIS (Human Resources Information System).
- Track onboarding metrics and generate reports to continuously improve processes.
- Ensure compliance with federal, state, and local employment laws and internal HR policies.
Continuous improvement
- Gather feedback from new hires and managers to identify opportunities for process improvement.
- Develop and update onboarding materials, including welcome guides and training manuals.
- Assist in the automation or digitization of onboarding workflows to enhance efficiency.
QualificationsEducation and experience
- Bachelor's degree in HR, Business Administration, or related field (or equivalent experience)
- 2 years of HR, talent acquisition, or onboarding experience preferred
- Experience using HRIS, ATS, and digital onboarding platforms
Skills and competencies
- Excellent communication and interpersonal skills
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities in a fast-paced environment
- Knowledge of employment laws and HR best practices
- Proficiency in Microsoft Office Suite or Google Workspace
