We are currently seeking a professional, organized, and welcoming Administrative Coordinator to support our office operations in Biddeford.
Position Summary
The Administrative Coordinator plays an important role in maintaining the day-to-day operations of the office. This position serves as the first point of contact for visitors, staff, and individuals served while helping keep the office organized and running smoothly. The ideal candidate is friendly, organized, dependable, and comfortable working in a busy administrative environment.
Responsibilities
Front Office Support
- Manage day-to-day office operations, including front desk responsibilities, multi-line phone systems, and welcoming visitors, staff, and individuals served in a professional and friendly manner
- Coordinate calendar management, scheduling meetings, appointments, and events with precision using Microsoft Office and Google Workspace tools
- Answer and direct incoming phone calls
- Assist visitors and staff with general questions and office navigation
- Create a welcoming and organized office environment
Office Administration
- Maintain organized filing systems (electronic and paper)
- Assist with incoming and outgoing mail
- Maintain employment applications and administrative documents
- Assist with preparation of onboarding paperwork and training materials
Training & Office Coordination
- Assist with directing staff to trainings and sign staff in for scheduled trainings
- Assist with preparing training packets and materials, or making copies
Office Operations
- Maintain office supplies, equipment, and inventory
- Order office supplies and coordinate with vendors as needed
- Organize and maintain the agency supply closet
- Help maintain a clean, professional, and organized office environment
- Support program activities by assisting with project coordination, preparing reports, and managing correspondence

Compliance & Confidentiality
- Ensure documentation and communications follow HIPAA and confidentiality standards
- Maintain professionalism and discretion when handling sensitive information
Qualifications
- High school diploma or GED
- Strong organizational and communication skills
- Professional and friendly demeanor
- Ability to multitask and stay organized in a fast-paced office

- Basic computer proficiency (Microsoft Office, Google Workspace, email)
Preferred
- 1–3 years of administrative or office experience
- Experience working in healthcare, human services, or disability services
- Experience handling confidential documentation
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and basic computer literacy
- Strong communication skills with bilingual abilities preferred to serve diverse populations effectively
- Familiarity with multi-line phone systems, front desk procedures, and phone etiquette standards
