Overview
We are hiring a Receptionist/Dispatcher to support our growing HVAC office team. This role is responsible for answering phones, scheduling service calls through Housecall Pro, assisting the Office Manager with administrative projects, and helping maintain an organized and welcoming office environment.
The ideal candidate is friendly, organized, and dependable — someone who enjoys helping customers and thrives in a fast-paced team setting.
Responsibilities
- Answer and route incoming phone calls and emails in a professional, timely manner.
- Schedule, dispatch, and confirm service appointments using Housecall Pro.
- Communicate clearly with technicians and customers to keep the schedule on track.
- Maintain accurate customer records and job notes within the CRM.
- Assist the Office Manager with various administrative and marketing projects as assigned.
- Greet visitors, vendors, and team members at the front desk.
- Perform light office cleaning duties (vacuuming, wiping counters, tidying front area).
- Support the office team to ensure efficient daily operations.
Qualifications
- Friendly, reliable, and customer-focused.
- Excellent communication, multitasking, and time management skills.
- Strong attention to detail and ability to work independently.
- Basic computer proficiency (email, phone systems, scheduling software).
- Prior receptionist, dispatcher, or office experience preferred, but not required — training provided.

Hours: Monday–Friday, 11:00 AM – 4:00 PM Pay: $15 per hour Location: Jenison office – in person Job Type: Part-time
