Key responsibilities
- Make courteous, consistent collection calls and send emails to customers regarding past-due invoices; document all contact activity in the system.
- Monitor aging reports, flag high-risk accounts, and work with ownership on payment plans, credit holds, and escalations.
- Process customer payments (credit card, check, ACH), post to accounts, and assist with daily reconciliation.
- Generate and send customer invoices and statements; verify job tickets from mobile service technicians for accuracy and completeness.
- Maintain up-to-date customer account records, contact information, and credit documentation.
- Answer incoming calls, route service requests, and provide basic information about services, hours, and billing.
- Support general administrative tasks such as filing, scanning, data entry, ordering office supplies, and preparing simple reports.
- Coordinate occasionally with technicians and the owners to resolve customer billing questions related to on-site service work.
- Prior experience in accounts receivable, collections, or small-business office administration preferred.
- Comfortable making professional collection calls and discussing payment arrangements with business customers.
- Basic understanding of invoicing, statements, and payment posting; experience with accounting or invoicing software is a plus.
- Strong attention to detail, accuracy in data entry, and good organizational skills.
- Clear, professional communication skills (phone and email) and a customer-service mindset appropriate for service-driven industrial clients.
- Ability to work independently, manage priorities, and maintain confidentiality.
- Familiarity with industrial, construction, oilfield, or transportation environments is helpful but not required.
