Position Summary
We are seeking a highly organized and proactive Legal Assistant to provide executive-level administrative and legal support to the General Counsel while assisting with commercial real estate transactions and corporate legal matters. This role will serve as a trusted partner to the General Counsel by managing legal documentation, coordinating transactions, maintaining corporate records, and ensuring timely execution of legal and administrative priorities.
The ideal candidate has experience supporting legal professionals and exposure to commercial real estate transactions, contracts, escrow, leases, and title documentation. Strong attention to detail, discretion, and the ability to manage multiple priorities are essential.
Key Responsibilities
- Provide direct administrative support to the General Counsel, including calendar management, meeting coordination, travel arrangements, and expense reporting.
- Prepare, edit, proofread, and organize legal correspondence, contracts, agreements, and other confidential documents.
- Coordinate commercial real estate transactions from contract through closing, including communication with brokers, escrow officers, title companies, lenders, and outside legal counsel.
- Assist with the preparation, review, and execution of purchase and sale agreements, leases, easements, amendments, and related legal documentation.
- Track critical transaction deadlines, contingencies, renewals, and legal deliverables.
- Maintain organized legal and corporate records, both electronically and physically.
- Coordinate document execution, notarizations, and corporate filings.
- Assist with due diligence materials, title reviews, surveys, zoning documentation, and property-related records.
- Manage communications with internal departments, outside counsel, government agencies, and external business partners.
- Conduct legal and factual research as requested.
- Prepare presentations, reports, board materials, and executive correspondence.
- Support special projects and other legal or administrative initiatives as assigned.
Qualifications
- Associate's or Bachelor's degree preferred.
- 5 years of experience supporting an attorney, General Counsel, or executive leadership.
- Experience with commercial real estate transactions, escrow, leases, title, or corporate real estate documentation strongly preferred.
- Understanding of legal terminology, contracts, and corporate documentation.
- Exceptional organizational and project management skills.
- Ability to handle highly confidential information with professionalism and discretion.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to manage multiple deadlines in a fast-paced environment.
- Self-motivated with the ability to work independently and anticipate needs.
Preferred Experience
- Executive Assistant experience supporting senior leadership.
- Commercial real estate transaction coordination.
- Experience working with outside legal counsel.
- Exposure to corporate governance, entity management, or board documentation.
- Familiarity with 1031 exchanges, leases, purchase agreements, and escrow processes.
