Administrative Assistant Counseling
Contract Period: Academic-year position, 40 hours/week, non-exempt
Supervisor: Associate Dean of Academics - Director of School Counseling
Qualifications: High school diploma required; Associate’s degree in a related field with 3–5 years of experience preferred. Demonstrated excellent communication and interpersonal skills, strong executive functioning and organizational abilities, and proficiency in Google Workspace. Ability to maintain confidentiality, show initiative, maintain a positive attitude, work collaboratively as part of a team, and ensure consistent follow-through.

Duties:
- Provides support to counselors, including filing, general typing, special projects, photocopying, faxing, and issuing student passes, among other related duties.
- Manages student check-in and check-out in the Counseling Office using Securly and ASPEN; answers questions and provides a welcoming point of contact for students, guardians, and staff.
- Assists with answering incoming calls for the Counseling Office and provides coverage for the Freshman Counseling Office as needed.
- Provides college application support for counselors by uploading transcripts, processing college-related documentation, coordinating senior surveys, and generating reports. Maintains post-secondary data and assists students with navigating the platform.
- Maintains and updates scholarships in our scholarship platform.
- Runs NCAA reports and uploads transcripts.
- Coordinates the Transfer Mentor Group by assigning mentors to new students, communicating meeting details, and collaborating with advisors on mentor assignments, transfer orientation, and scheduling.
- Processes long-term absence requests for tutoring; finds tutors; processes tutoring bills.
- Oversees VLACS by monitoring student progress and processing related documentation, including transcripts.
- Share PSAT/ASVAB/NH Scholars/St. Paul’s duties.
- Collaborates with office staff to ensure records are maintained in a confidential, accurate, and well-organized manner.
- Processes all purchase requisitions for office supplies, professional development, college fair needs, etc.
- Maintains and organizes the supply closet.
- Other duties as requested by the Associate Dean of Academics, Director of School Counseling.
