A leading global hedge fund is seeking a highly organized and proactive Workplace Operations Manager to oversee the day-to-day operations of its New York office. This is a highly visible position that works closely with senior leadership and plays a critical role in creating an exceptional workplace experience for employees, clients, and visitors.
The ideal candidate will be responsible for office operations, facilities management, vendor oversight, employee onboarding, travel coordination, event planning, and administrative support. This individual will also supervise a junior team member and help drive operational excellence across the organization.
Responsibilities
Workplace & Office Operations
- Oversee the daily operations of a fast-paced corporate office, ensuring a professional and efficient work environment.
- Manage relationships with building management, facilities teams, and third-party vendors.
- Coordinate office maintenance, repairs, workplace improvements, and space planning initiatives.
- Monitor office inventory, supplies, equipment, and workplace services.
Employee Experience & Events
- Lead employee engagement initiatives and workplace programs.
- Coordinate company events, town halls, team outings, happy hours, and seasonal celebrations.
- Manage office meal programs, catering, and hospitality services.
- Support onboarding and offboarding processes, including workstation setup and employee logistics.
Travel & Administrative Support
- Coordinate domestic and international travel arrangements for employees and senior stakeholders.
- Assist with meeting scheduling, conference coordination, restaurant reservations, and other administrative requests.
- Serve as a point of contact for visitors, clients, and external partners.
Vendor & Financial Management
- Manage vendor contracts, invoices, and service agreements.
- Partner with Finance to process invoices, track expenses, and maintain accurate records.
- Monitor office budgets and identify opportunities for cost savings and operational efficiencies.
Leadership & Process Improvement
- Supervise and mentor a junior office team member.
- Develop and implement workplace policies, procedures, and best practices.
- Identify opportunities to improve processes and enhance the overall employee experience.
- Support special projects and business initiatives as needed.
Qualifications
- 2-6 years of experience in office management, workplace operations, corporate services, executive support, or a related field.
- Experience managing vendors, facilities, workplace services, or office operations.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent communication and interpersonal skills with a professional and client-focused approach.
- Experience coordinating events, travel, and employee engagement initiatives.
- Proficiency in Microsoft Office Suite and business productivity tools.
- Experience within financial services, professional services, consulting, legal, or similar environments is preferred but not required.
