Job Summary
The Payroll Administrator is responsible for ensuring accurate, compliant, and timely payroll processing for union and non-union employees. This role audits time records, reconciles payroll data, supports tax-related activities, maintains payroll records, and resolves discrepancies. The ideal candidate has strong analytical skills, attention to detail, and experience working with payroll systems and collective bargaining agreements.
Responsibilities
- Process payroll accurately and on time for union and non-union employees across multiple FEINs and collective bargaining agreements on a weekly basis.
- Maintain payroll records in compliance with applicable laws, including the Davis-Bacon Act, and ensure all changes are entered with appropriate approvals.
- Review, audit, and reconcile timecards after manager approval, following up as needed to resolve discrepancies.
- Research and resolve payroll issues by partnering with payroll staff, Human Resources, and operational leaders to maintain data integrity across HR and payroll systems.
- Respond promptly to employee and management questions, ensuring timely and professional issue resolution.
- Update and maintain union pay rates, benefit rates, and working assessments in the appropriate HR/payroll system in coordination with HR.
- Continuously review payroll processes and recommend improvements that increase accuracy, compliance, and efficiency.
- Perform other duties as assigned.
Qualifications
- Associate degree in Business Administration, Accounting, Finance, or a related field required; bachelor’s degree preferred.
- Minimum of 5 years of experience independently processing union payroll and interpreting collective bargaining agreements required; multi-state payroll experience preferred.
- Working knowledge of applicable federal and state wage and hour laws required.
- Experience with Spectrum and ADP Workforce Now preferred.
- Proficiency in Microsoft 365 applications required.
- Demonstrated ability to adapt and remain flexible in a changing environment.
- Strong communication, customer service, and problem-solving skills required.
- Ability to manage multiple priorities, work under pressure, and meet deadlines.
