Role Overview
Our General Offices serve as key operational hubs that support insurance agents and advisors across the country. We are seeking a motivated and organized Operations Specialist to support daily office operations and provide administrative assistance to the local Managing Partner and leadership team.This role serves as a primary point of contact for agents and clients, ensuring smooth office operations while helping streamline processes for agency stakeholders. The ideal candidate is highly organized, service oriented, and comfortable managing multiple responsibilities in a fast paced environment.
Key Responsibilities
- Provide administrative and operational support to the Managing Partner and management team
- Partner with the onsite Service Leader to support efficient office operations
- Serve as a primary point of contact for agents, addressing questions and providing operational support
- Greet and assist visitors while managing incoming phone inquiries
- Coordinate accounts payable and receivable, including agent payment requests, operational expense submissions, and purchase card reconciliation
- Manage incoming and outgoing mail and deliveries in accordance with regulatory guidelines
- Support facility operations, including maintenance requests and troubleshooting local network issues
- Assist with onboarding support for new agents, including resource coordination
- Support administrative functions such as control reports, conference room scheduling, meeting preparation, and candidate fingerprinting
Qualifications
- Experience in customer service, office administration, or operations support preferred
- Strong written and verbal communication skills
- Highly organized with strong attention to detail
- Proficiency in Microsoft Office Suite
- Associate’s or Bachelor’s degree preferred but not required
