SUMMARY
Under general direction to act as secretary to a site administration; to perform a wide variety of responsible clerical work; to coordinate the workload of clerical staff; and perform all secretarial tasks independently and to do job-related work as required.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other job-related duties may be assigned.
Supports the site administrator by assisting with enrollment, scheduling school tours, registering new students (via SchoolMint), and updating enrollment information (via AERIES). Assists in making and tracking offers, monitoring enrollment numbers, and assisting with class assignments. Operates the school's information management system for student registration (AERIES); does scheduling and occasional attendance and grade reporting. Acts as a receptionsist and receives calls and office visitors, answering questions regarding school matters and arranging appointments with the principal or appropriate teacher; interprets and communicates district policies and procedures; assists students and staff committees; types from oral directions, rough draft copies, or notes on a variety of materials including letters, reports, bulletins, curriculum materials, tests, student and faculty referral letters, and memos; screens supervisor's mail and email, directing attention to those items requiring personal action; prepares correspondence via ParentSquare on own initiative for those matters not requiring supervisor's personal attention; maintains a wide variety of files and records including material of a confidential nature; prepares a variety of reports; prepares agendas for faculty; assists in scheduling the use of school facilities; monitors and supports administration in maintenance of the school budget; prepares purchase orders, requisitions and inventories office supplies and maintains a variety of financial records including deposits, transfers and expenditures; coordinates the work of clerical employees; may assign and review the work of student office assistants; assists in arranging substitutes and explaining school procedures to substitutes or newly hired employees; maintains attendance and payroll records for certificated and classified employees; coordinates personnel matters with the district office. Responsible for distributing and monitoring keys for the school site. May be responsible for opening and closing site office, setting the alarm, etc.; may temporarily supervise students sent to the office. Communicates decisions concerning parent custody, making sure only legally listed adults pick up students from school; may conduct lice inspection; administers minor first aid to students when necessary and assists and monitors students in taking oral medications prescribed by a physician. This does not include injections, except EpiPens, which may be administered on a voluntary basis in accordance with Education Code 49414. May attend staff meetings and take minutes.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
Two years of increasingly responsible clerical experience, one year of school district clerical experience preferred.
LANGUAGE SKILLS
Knowledge of correct English usage, spelling, grammar, and punctuation rules.
MATHEMATICAL SKILLS
Ability to apply concepts such as fractions, percentages, ratios to practical situations.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables. Ability to interpret a variety of instructions furnished in written and oral form.
