Duties/Responsibilities:
- Creating and managing jobs within company systems
- Reviewing and processing work orders
- Assisting with payroll support and timecard review
- Preparing invoices and supporting basic accounting processes
- Coordinating schedules and appointments
- Processing new hire paperwork and onboarding documentation
- Answering phones and assisting customers professionally
- Maintaining accurate project and employee records
- Communicating with customers, field personnel, subcontractors, and vendors
- Supporting branch administration and office management functions
- Assisting with reporting, data entry, and document management
- Helping ensure projects and administrative processes stay on track
Required Skills/Abilities:
- NON-SAFETY SENSITIVE POSITION - employee only performs non-DOT related functions
- Exceptional organizational skills and attention to detail
- Strong verbal and written communication skills
- Comfortable juggling multiple priorities in a fast-paced construction environment
- Professional and customer-focused demeanor
- Strong problem-solving abilities and sound judgment
- Ability to maintain confidentiality when handling employee and company information
- Proficient with Microsoft Office and eager to learn new software and systems
- Accurate data entry and recordkeeping skills

- Ability to work effectively with field employees, management, customers, and vendors
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer
- Ability to frequently use office equipment such as computers, printers, scanners, and telephones
- Ability to occasionally stand, walk, bend, reach, and lift office materials
- Must be able to lift up to 20 pounds occasionally
- Ability to work in a busy office environment with frequent interruptions and changing priorities
- Ability to remain stationary and focused for extended periods while performing administrative tasks
Education & Experience:
- High school diploma or equivalent required
- 1 year of administrative experience required
- Bilingual English-Spanish is preferred, not required
- Bonus points if you have experience in construction, weatherization, insulation, or related trades
Compensation Package:
- $22-$27/hour DOE
- Overtime is allowed but must be approved beforehand by manager
