Position: Plano Lease Deliveries Coordinator
Location: Plano, TX
Reports To: Vehicle Lifecycle Manager
Description
The Penske Vehicle Services Plano Lease Deliveries Coordinator ensures a customer-service-focused delivery of new company vehicles for Toyota employees and Departments located at the Plano, TX headquarters office. The person works closely with Toyota employees, Department Managers, and Executives or Assistants, to schedule pickup of new vehicles. During the appointment, emphasis is placed on the excitement of getting a new vehicle, explanation and demonstration of the safety features and technology of the vehicle, and assistance with the vehicles personal configuration such as connecting the persons phone to the vehicle via Bluetooth. Delivery appointments also include assistance with signing and understanding the lease agreement, payroll deduction forms, Toll Tag registration and other items. As time allows, the Coordinator will assist a team with the delivery process for non-headquarters deliveries.
Essential Job Functions:
Company Car Deliveries:
- For deliveries at the Toyota headquarters campus, ensure that all applicable pre-delivery and appointment communication is arranged, and all applicable agreements and contracts are made available for the Client employee to electronically sign
- For deliveries outside of the Toyota headquarters campus, work with a team of other Coordinators to ensure that dealerships nationwide are provided with the necessary documentation to register and deliver a vehicle and that all applicable agreements and contracts are made available for the Client employee to electronically sign
- Ensure that Client employees have agreed to all applicable contracts and conditions prior to delivery
- Provide an exciting new car experience with superior customer service, consistent with that of a dealership, ensuring that the Client employee or eligible driver is made aware of the vehicles features and options
- Track and document any delivery delays, escalate to Management as necessary, and offer process improvement suggestions to avoid future similar delays
- Assist Client employees as required with the rescheduling of delivery appointments, primarily in the Penske and Client software platforms
- Assist others to ensure new vehicle registration and plating is completed prior to the pickup appointment
- Prior to the appointment, perform a visual quality check of the vehicle to ensure vehicle cleanliness, removal of any shipping materials, the vehicle is properly plated, and necessary documentation is with the vehicle
Customer Service / Communications:
- Provide excellent customer service for the Client employees, dealerships, or other parties via email, chat, and phone
- Ensure questions are addressed quickly and accurately, or transferred to the appropriate party to answer
- Other duties as assigned by Leadership
Qualifications
- High School diploma or GED required, Associates or Bachelors degree preferred
- Excellent customer service skills; strong verbal and written communication
- Must be a high energy individual with a strong work ethic and desire to succeed
- Strong analytical and computer skills
- MS Office Suite (Outlook, Teams, Word, Excel, PowerPoint, etc.)
- Must be able to multi-task while ensuring follow up and execution of required tasks
- High degree of organization and ability to work effectively in a fast-paced environment
- Ability to navigate challenging business environments while quickly assimilating to diverse client, and management team
- Able to lift up to 50 lbs.
