PEN RYN ESTATE (Bucks County's premier wedding venue) is seeking a Admin Assistant to oversee and maintain all property's; Pen Ryn Estate and Spring Mill Manor. We are expanding our Front of the House team and are looking for dynamic, attentive, and detail-oriented individuals to join us.
Summary: Located in the heart of Bucks County PA, hosting nearly 500 weddings per year, Pen Ryn Estate recently acquired Spring Mill Manor and is seeking an Administrative Assistant for both locations. Office will be at Pen Ryn Estate, but weekly trips to Spring Mill Manor are required. We are seeking an Administrative Assistant to manage bookkeeping, human resources and administration assistant duties and responsibilities for both locations. We are seeking an organized and independent individual, who can maintain property recordkeeping for both our clients and vendors. Below are the duties and responsibilities for both aspects of this position.
Duties and Responsibilities:
- Recruitment: Managing the hiring process, including posting jobs, screening applicants, and interviewing candidates. Provide applicants to the Owner for final round interviews.
- Compensation and Benefits: Administering salary and hourly packages, benefits programs, and ensuring compliance with related regulations post hiring of new employees. Complete and file all new hhire working paperwork
- Compliance: Ensuring that the company adheres to all labor laws and regulations.
- Taxes: prepare quarterly tax payments as well as end-of-year compliance
- Communication: Answering and directing phone calls, handling incoming and outgoing mail, and managing electronic communication (emails) to our AP and Vendors
- Record Keeping: Maintaining organized filing systems, both physical and digital, and managing databases.
- Bookkeeping: Performing bookkeeping via Quickbooks, tracking expenses, and handling other administrative tasks as needed. Additionally, adding in all AR and deposits for clients
- Payroll: Preparation and processing of payroll bi-weekly. Checking time cards and open communication with Executive Chef and Director of Events for missing information
- Document Preparation: Preparing memos, reports, offer letters, hiring packets, presentations, and other documents, often involving editing and proofreading.
- Office Support: Ordering supplies, managing office equipment, and assisting with event planning.
- General Administrative Tasks: Organize office supplies and equipment
- Customer Service: Providing a welcoming and helpful atmosphere to visitors and clients.
Requirements
- Proven experience in bookkeeping or a related administrative role is preferred: Quickbooks knowledge a bonus.
- Strong computer literacy with proficiency in office software applications.
- Excellent proofreading skills with attention to detail.
- Effective time management skills to handle multiple tasks efficiently.
- Strong customer service orientation with good experience in bookkeeping, administration assistant or human resources position.
- 3 years experience in bookkeeping, administration assistant or human resources position.
