Position Title: Facilities Manager
Reports to: Director of Facilities, Events and Food/Beverage

SUMMARY:
Under the general direction of the Director of Operations, the Facilities Manager (FM) leads and manages the Pearl Harbor Aviation Museum Facilities Department. The Facilities Manager is responsible for hiring, onboarding, development, coaching and overall leadership of the facilities staff. The FM contributes to a safe, secure, functional and inviting campus by overseeing the maintenance, repair, groundskeeping, custodial, and general facilities management services across The Museum’s buildings and grounds. The FM supports the planning, oversight, and coordination of major projects, including safety, health, emergency preparedness, and environmental initiatives as well as capital projects and is responsible for managing the facilities budget.
Maintenance and efficient operation of facility systems includes, but are not limited to, HVAC, plumbing, electrical, landscaping, pest control, carpentry, fire and alarm systems, vehicle care, minor IT, trash removal, solar, roofing, floors, corrosion control and unscheduled maintenance, coordination and repair.
Key Responsibilities:
- Leads, develops, coaches and supervises facilities staff (custodians, technicians, groundskeepers etc.)
- Interviews, hires, trains, develops, coaches and mentors department staff; directs work as required to support a positive, productive, safe work environment, clean facility, full custodial services, and support of all special events.
- Schedules, evaluates performance, rewards/disciplines team members as required and addresses/resolves facility-related concerns, complaints and issues/problems.
- Identifies and develops a plan for maintenance, repair and annual upkeep. Develops goals on planning and prioritizing large-scale maintenance and repair efforts.
- Manages annual department budget, keeping records of expenditures, repairs and maintenance on all buildings and properties and management reporting.
- Manages the upkeep of equipment and supplies to meet health and safety standards.
- Ensures custodial duties are assigned and completed as scheduled for health and safety.
- Supervises/performs support of museum event team in accordance with museum policies and procedures.
- Manages/tracks scheduled and unscheduled maintenance, inspections and servicing for museum vehicles and carts as part of a preventive maintenance program.
- Assists with inspecting buildings and coordinates for needed repairs; performs maintenance and repairs as required.
- Explores, recommends and executes upgrades and improvements for efficient and effective operations.
- Continuous improvement for effective, efficient systems, and maintenance.
- Works with third party vendors, contractors and positively manages relationships.
- Maintains Safety Procedures, training, and ensures all staff are trained and Operations/Staff are in compliance.
- Serves as the Safety Officer for The Museum and supports Emergency Preparedness
- Project Management.
- Responsible for OSHA training, education of staff, compliance and reporting
- Collaborates with Directors, Department Managers/Staff and Executive Director.
- Manages Grounds keeping.
- Perform other duties as assigned.
Minimum Qualifications:
- Bachelor’s degree in engineering, architecture, facilities management, construction management, or related field. A relevant professional credential (e.g. International Facilities Management Association Certified Facility Manager) may be considered in lieu of a degree.
- Five years of comprehensive related experience in facilities maintenance and management.
- Familiarity with the operation, maintenance, and repair of:
o Mechanical, electrical, and plumbing (MEP) systems
o Life safety and security systems
o Building envelope (e.g.) roofing and waterproofing systems
o Grounds and landscaping
- Experience with Pest Management.
- Working knowledge of current federal, state, and local laws/regulations governing occupational safety, environmental compliance, life safety codes, building codes, and permitting.
- Demonstrated experience leading a team, including applicant selection and training.
- Organizational and leadership skills.
- Ability to plan and execute multiple projects simultaneously.
- Ability to coordinate activities, work collaboratively and communicate with diverse stakeholders, to include contractors, vendors and multiple departments across the museum.
- Ability to embrace evolving technologies and processes.
- Ability to take initiative, respond to emergencies or changing conditions, and make appropriate decisions in challenging situations.
- Outstanding customer service and organizational skills.
- Proven successful experience as facilities manager or relevant position.
- Knowledge of basic accounting and finance principles.
Desired Qualifications:
- Experience with facility management in a museum and/or visitor-oriented, mixed-use setting.
- Relevant professional certifications(s) from the IFMA, Project Management Institute, Board of Certified Safety Professionals, or similar organization(s).

Working Conditions: Located in an environment on historic Ford Island. Position spends majority of time outside of their workspace/office with some time in the museum, gallery and the overall museum campus buildings.
Schedule: Museum is open (7) seven days a week from 9 a.m. – 5 p.m. with evening and weekend events/activities. Candidate must be flexible and available to work during the Museum Operations. Must be available to work weekends and evenings as needed to support the overall operations of The Museum. Schedule may vary to include start and ending time; additional hours as necessary to meet business needs.

Technical/equipment Skills: Ability to operate Museum equipment/fleet, such as Forklift, Lifts and other equipment for operations/maintenance of the Museum. Proficient in Windows and/or Apple computing environments, Microsoft Office products including Word, Excel, and Power Point. Experience in presentation and publishing software, email and internet search engines and research techniques; and web site content support.
Certificates, licenses, registrations: Requires valid driver's license, and a satisfactory driving record. CPR Certified
Physical requirements: Due to the time spent working on a computer, position requires the ability to focus and view information displayed on a keyboard and monitor, lift up to 50 lbs., and stand for long periods of time.
