Summary of Duties:

Under the direct supervision and guidance of the HHHB Board of Trustees’ Facilities Management Committee, the Facilities Manager provides operational management, and prioritization and coordination for the use and maintenance of the Honpa Hongwanji Hilo Betsuin facilities and temple grounds. Responsible for the efficient use and operation of the Honpa Hongwanji Hilo Betsuin’s Sangha Hall, YBA Hall, and Administrative Building Conference Room. Supervises and assigns tasks to contracted ground maintenance companies, volunteer groups, janitorial services, and event coordinators; and performs other duties as determined by the Facilities Management Committee.

The HHHB Facilities Management Committee is a committee under the supervision and review of the Honpa Hongwanji Hilo Betsuin’s Board of Trustees.

Duties and Responsibilities:

1. Managing the use of HHHB facilities (Sangha Hall, the YBA Hall, and the Administrative Building Conference Room) according to the approved facilities policies and procedures:

a. Coordinate and communicate all use and or potential use of facilities with the Office Supervisor and staff, including the collection and if necessary the return of deposits and fees.

b. Answer/respond to phone inquiries, meet with prospective facilities users and provide all information including the fees, deposits, security, food safety, and insurance requirements for the use of the facilities.

c. Accept, review and approve applications for the use of the facilities, and communicate with users the status of their applications.

d. Ensure compliance with all governmental regulations and rules, and HHHB policies and procedures.

e. Prepare invoices for the rental of the facilities.

f. Inspect facilities before use and instruct facilities users on the proper use and cleanup requirements of the facilities.

g. Inspect facilities after use and before releasing users, close/secure facilities.

h. Oversee the setup of tables and/or chairs in the facilities for Kyodan sponsored events.

i. Provide monthly Facilities Usage Report to the Facilities Management Committee, the Board of Trustees, and Kyodan Council. Report the prior and current months’ completed and scheduled activities, reporting ongoing or scheduled maintenance and/or repair projects/issues, and reporting of finances (including invoices/deposits and all expenses/budget).

j. Ensure the clean presentation of the facilities.

2. Maintaining the following HHHB facilities: Sangha Hall, YBA Hall, Administration Building Conference Room, and temple grounds.

a. Oversee a variety of minor facility, equipment, plumbing and electrical repair work. Minor repairs include, but are not limited to, changing outlets, switches, light bulbs; repair toilets and fixtures; repair tables and chairs, and replacing window panes as needed.

b. Ensure janitorial duties are coordinated in the Sangha Hall when events are scheduled. Some events are scheduled for multiple days or events may be scheduled back to back. Janitorial duties include cleaning the bathroom, making sure the bathrooms have ample supply of toilet paper, soap and hand towels, emptying bathroom rubbish, and placing liners in trash cans.

c. Order supplies for HHHB Facilities which include janitorial supplies, ice, and paper goods for Kyodan and affiliate sponsored events.

d. Coordinate with the Temple’s janitor, the use of the Administration Building’s restrooms for events schedule for the YBA Hall and/or Conference Room, including the cleaning and stocking of restroom supplies.

e. Oversee the setup, maintenance and repair, as needed, of the audio and video equipment in the Sangha Hall, YBA Hall, Temple and Administration Building conference room.

f. With the assistance of Office staff, research, solicit, and negotiate with appropriate contractors to do larger repair work for Sangha Hall that require professional services.

g. Oversee and manage contracted ground maintenance companies, volunteer groups, janitorial services, and event coordinators.

3. Support of minor/emergency repairs to other facilities as requested by Board of Trustees Building and Grounds Maintenance Chairs.

4. Supervise the staff/volunteers assigned to the facilities manager.

5. Provide a monthly calendar of Sangha Hall, YBA Hall, and Administration Building Conference Room activities to the Administrative office staff and Facilities Management Committee and inform the Office staff of any changes in activities and/or policies.

Qualifications:

The following are required qualifications:

1. Experience in providing assistance to a wide range of Temple stakeholders and the general public, including having a high degree of tact and the ability to exercise sound judgment in dealing with individuals and organizations in the scheduling and use of the HHHB facilities.

2. General clerical skills such as typing and filing; use of operating office machines, computer equipment and office application software; answering the telephone; and handling incoming and outgoing mail correspondence.

3. Ability to follow established policies and procedures. Assist the Facilities Management Committee in the review of HHHB policies and procedures for the effective and efficient use and operations of HHHB facilities.

4. Possess a valid Hawai`i Driver License and an operational vehicle with appropriate insurance.

5. Present a clean, neat and professional appearance, and dress appropriately as a member of the HHHB staff.

6. Previous experience in facilities management is desired but not required.

7. Previous experience in supervision of subordinate staff is desired by not required.

8. Work hours – normal work hours range between 8:30 am – 5:30 pm, Monday – Friday. Flexible hours are required to work weekdays, evenings, weekends and holidays, to accommodate supervision of events and activities using the Sangha Hall. Normal work hours may be adjusted as needed and should be reported to the Facilities Management Committee in the Facilities Activity Report.

Job Type: Part-time

Pay: $15.00 - $18.00 per hour
