Major Duties
- Oversee, establish, monitor, and maintain systematic processes for the creation, use, maintenance, preservation, and destruction of division records in both electronic and paper formats in compliance with state and federal regulations.
- Develop, document, and maintain written procedures, reference guides, and training resources related to records lifecycle management.
- Train and instruct staff on records retention policies and proper use of electronic records systems.
- Conduct targeted quality assurance reviews to ensure accuracy and integrity of records management data; analyze root causes affecting efficiency and recommend procedural improvements.
- Coordinate with internal stakeholders to safeguard sensitive data and ensure privacy and security standards are upheld.
- Partner with the agency’s Records Management Specialist to ensure proper storage, file room organization, workstation compliance, and bulk file management.
- Develop and maintain tracking tools, spreadsheets, and databases to efficiently monitor projects and records activities.
- Serve as division point of contact for maintaining and updating federally and state-mandated exclusion lists, including managing documentation, tracking removal requests, and ensuring compliance with regulatory requirements.
- Compile and prepare reports for federal partners and agency leadership.
- Follow all agency policies and perform additional duties as assigned.
- Bachelor’s degree (one year of related experience may substitute for one year of college).
- Experience in records management, archival work, or records compliance operations.
- Knowledge of Texas State and Local Records Management standards and procedures, including electronic records and records lifecycle management.
- Strong understanding of records retention schedules and archival practices.
- Ability to develop and revise standards and procedures, manage multiple priorities, and maintain strict attention to detail in a deadline-driven environment.
- Proficiency with personal computers and applicable software, including spreadsheets and tracking databases.
- Strong analytical, organizational, and communication skills with the ability to train staff and present clear guidance.
- Ability to exercise sound judgment, maintain confidentiality, and work independently with limited supervision.
- Preferred: Degree in Library Science or related field may substitute for experience.
- Compensation Rate: $41.00/hour
- Length of Engagement: March 16, 2026 – December 31, 2026
- Days/Hours: Monday – Friday, standard business hours of 8AM-5PM (40 hours per week)
- Location: Austin, Texas (78701) 100% Onsite
