The Role You’ll Play — Facilities Manager

As the Facilities Manager, you’ll take the lead on maintaining Pawnee’s 15 offices across our 10-county service area, ensuring our buildings and public-facing spaces are safe, functional, and welcoming for staff and clients. This role blends hands-on facility management with project coordination, vendor relations, and supervision of maintenance staff.

You will serve as the primary point of contact for landlords, oversee building operations and grounds work, and coordinate everything from office relocations to furniture orders. Your work directly supports our mission by keeping our spaces aligned with Pawnee’s goals and accessible to those we serve.

This position reports to the Director of Operations and supervises the Maintenance Specialist and Custodian.

The Day-to-Day

In this role, you will:

  • Research and recommend solutions for space availability, office layout, and facility utilization needs.
  • Negotiate and manage lease agreements while acting as the main liaison for Pawnee landlords.
  • Provide 24/7 on-call support for emergency building issues, including leaks, vandalism, and storm damage.
  • Coordinate and participate in staff and equipment relocations when spaces are gained, changed, or vacated.
  • Plan and oversee approved building modifications, repairs, and preventive maintenance, including vendor contracts.
  • Manage ordering, distribution, storage, and disposal of furniture, equipment, safety supplies, and select custodial items.
  • Ensure all public-facing areas are clean, functional, and aligned with Pawnee’s mission and brand.
  • Oversee grounds maintenance, including coordinating employee work and contracted services like snow removal and mowing.
  • Create and maintain key plans for all buildings, including issuing keys and managing door codes for the Houston Street building.
  • Attend Safety Committee meetings as a permanent member and participate in Foundation Board meetings.
  • Hire, train, supervise, and evaluate Facilities staff while providing coaching and documentation as needed.
  • Keep up-to-date on facility operations best practices, policies, and safety requirements.
  • Review and update service agreements regularly, including securing multiple bids for large projects.
  • Complete other duties as assigned to support Pawnee’s operations and administrative needs.

Requirements:

Required:

  • 2 years’ experience in commercial property management or a related field.
  • Basic personal computer skills.
  • Strong oral and written communication skills using the English language.
  • Demonstrated ability to plan and coordinate facility improvement and office relocation projects.
  • Ability to travel in the 10-county service area during regular job duties, up to 25% of the average work year. This includes the rare but present possibility of overnight travel.


All employees will be required to submit to and pass a background check and drug screening.


Preferred:

  • High school diploma or equivalent.
  • Knowledge of facility maintenance needs, including but not limited to HVAC, minor electrical work, plumbing, physical safety, and construction projects.
  • Experience with Microsoft Office software.

Salary : $77,000 - $92,000
