Position Summary
PJD is seeking a highly organized, proactive, and detail-oriented Business Development Coordinator to support our commercial team and increase the effectiveness of our sales process.
The Business Development Coordinator should amplify the effectiveness of the commercial function by owning critical coordination, follow-up, and administrative responsibilities, allowing BDs to spend more time with customers. The Business Development Coordinator will support proposal development, coordinate responses to routine inbound client requests, coordinate early-stage pursuit activity, maintain disciplined customer tracking and records (e.g., scheduling, contacts, notes), lead the preparation of account and territory review materials, and help drive timely follow-up on open opportunities. This role will also support proactive outreach into existing accounts to help deepen relationships, increase wallet share, and surface growth opportunities for the BD team.
This position does not carry a direct sales quota but its value lies in increasing sales capacity, improving process rigor, and helping consistently move forward opportunities.
Key Responsibilities
Proposal and Process Coordination
- Support early-stage bid and pursuit activity by organizing timelines, internal deliverables, and submission readiness
- Track deadlines and help ensure internal owners complete required tasks on time
- Add all bids to their respective bid calendars (single-family or multi-family)
Customer and Pipeline Tracking
- Maintain accurate and current records, including customer activity, opportunity stages, next steps, follow-up dates, and meeting notes
- Track open opportunities and follow up with BDs and customers, as appropriate, to confirm status, timing, and next actions
- Document bid and proposal outcomes, including losses and known reasons for rejection, to improve visibility into win / loss trends
Customer and Account Support
- Serve as a secondary point of contact for basic inbound customer questions and requests, ensuring timely responses and proper internal routing
- Conduct proactive outreach to existing accounts to maintain contact, gather feedback, confirm upcoming needs, surface relationship gaps, and help identify opportunities
- Help maintain continuity in customer communication so opportunities do not stall due to missed follow-ups or incomplete handoffs
Meeting and Sales Operations Support
- Support account plan reviews, monthly / quarterly sales reviews, and other sales operating rhythms by preparing materials, updating account information, and tracking follow-up actions
- Capture meeting notes, action items, and decisions to help ensure next steps are completed
- Prepare recurring sales reports and dashboards for management and the sales team related to pipeline activity, bid activity new awards / closings, account engagement and other key commercial metrics
- Provide updated Zonda information on a monthly-basis to each BD by geography
What Success Looks Like
- The commercial team spends more time in front of customers due to streamlined internal coordination and administration
- Sales records and sales intelligence are current, reliable, and useful for both leadership reporting and BD execution
- Leadership has better visibility into pipeline health, account activity, and customer win / loss patterns
- Open bids and proposals are consistently followed up on by either the Business Development Coordinator or another member of the sales team
- Existing accounts receive more structured attention and follow-up, leading to stronger relationships and more identified growth opportunities
Qualifications
- 2 years of experience in construction, business development support, sales support, sales operations, or a similar role
- Experience maintaining accurate customer and opportunity records
- Strong proficiency in Microsoft Office (i.e., Excel, PowerPoint, Outlook, Word)
- Strong organizational skills and attention to detail, with the ability to manage deadlines and follow through reliably
- Strong written and verbal communication skills, with the ability to communicate professionally with customers and internal stakeholders
- Comfortable coordinating across multiple functions and keeping work moving in a fast-paced environment
- Familiarity with construction-related sales and bid processes is preferred
