About the Position
Patriot Legal Group is seeking an energetic, professional, and highly organized Receptionist / Legal Assistant / Intake Coordinator for our Auburndale office.
This position serves as the first point of contact for many of our clients and prospective clients. The ideal candidate communicates warmly and confidently, follows up consistently, learns technology quickly, and can manage competing priorities without losing attention to detail.
The position combines front desk responsibilities, new client intake, scheduling, and legal assistant support. This is an excellent opportunity for someone who enjoys helping people and wants to develop broader experience in a law firm environment.
This position is entirely in person at our Auburndale office. Remote work is not available.

Primary ResponsibilitiesReception and Client Service
- Answer and route incoming telephone calls professionally
- Greet clients and visitors arriving at the office
- Maintain a welcoming and organized reception and conference room area
- Respond to general client questions and route legal questions to the appropriate attorney
- Schedule and confirm appointments, consultations, and document signing meetings
- Assist clients with completing forms and providing requested information
- Receive, scan, route, and organize incoming mail and deliveries
- Process outgoing mail being sent to courts, clients, and other interested parties
New Client Intake
- Speak with prospective clients to understand the general nature of their legal needs
- Gather accurate contact information, background details, and relevant documents
- Enter intake information into the firm’s case management and customer relationship management systems
- Schedule consultations with the appropriate attorney
- Follow up with prospective clients regarding consultations, engagement documents, and requested information
- Track open inquiries and ensure potential clients receive timely responses
- Maintain professional and compassionate communication with individuals experiencing stressful family or financial circumstances
Legal Assistant Support
- Assist attorneys and paralegals with Probate, Estate Planning, Guardianship, and Real Estate matters
- Draft and edit routine correspondence, notices, and client communications
- Collect asset information and supporting documents from clients
- Order certified records, deeds, death certificates, and other public records
- Prepare mailings, certified mail, and legal notices
- Scan, organize, and maintain electronic client files
- Assemble estate planning document packages and client binders
- Assist with document signing appointments
- Track court dates, client deadlines, and follow up tasks
- Enter time, expenses, and billing information when required
- Assist with additional administrative and legal support duties as assigned
Required Qualifications
- Strong telephone and in person communication skills
- Professional, courteous, and confident demeanor
- Exceptional organization and follow through
- Ability to manage multiple tasks and changing priorities
- Strong attention to detail
- Proficiency with Microsoft Outlook, Word, and Excel
- Comfort using Adobe Acrobat, DocuSign electronic signatures, scanning, and digital file systems
- Ability to learn case management, customer relationship management, and document automation systems
- Strong written communication and proofreading skills
- Ability to maintain confidentiality and comply with professional and ethical standards
- Reliable transportation and the ability to report to the Auburndale office each workday
Preferred Qualifications
- Prior law office, professional office, customer service, intake, or receptionist experience
- Experience with Probate, Estate Planning, Guardianship, or Real Estate matters
- Experience using Salesforce or another case management or customer relationship management platform
- Experience working in a paper reduced office
- Florida Notary Public commission or willingness to become a notary
- Ability to communicate in Spanish or another language
- Veteran, military family, or law enforcement background
Prior legal experience is helpful, but we will consider a highly motivated candidate with strong client service, administrative, and technology skills.

Work Environment
This is a full time, in person position at our office in downtown Auburndale, Florida. The position requires regular interaction with clients, attorneys, court personnel, and other professionals.
Our office is fast paced, technology focused, and team oriented. The successful candidate must be dependable, comfortable taking ownership of assigned tasks, and willing to assist wherever needed.
