Job Title: Administrative Assistant – Construction (Entry-Level, Training Provided)

Office Schedule: Monday to Friday, 8:30 AM – 4:30 PM
Location: On-site (Remote option available after 3–6 months of training)
All roles are paid positions, providing valuable experience in a dynamic environment.
Responsibilities
- Perform administrative support tasks including data entry, filing, and document management
- Take clear and organized meeting notes and track action items
- Follow up with clients, vendors, and subcontractors to maintain project timelines
- Assist with scheduling, communication, and project coordination
- Maintain and update CRM system Builder Trend (training provided if needed)
- Support office operations and help keep projects organized and on track
- Assist with calendar management and appointment scheduling for project teams and managers
- Support office management tasks such as supply ordering, filing systems, and record keeping
- Provide administrative support for construction projects, including document organization and tracking progress updates
Experience
- Prior office or clerical experience is preferred but not required; training will be provided
- Strong computer skills including proficiency with Microsoft Office (Word, Excel) and Google Workspace (Docs, Sheets)
- Excellent organizational skills with the ability to prioritize tasks effectively
- Bilingual abilities are a plus to assist diverse client needs
- Demonstrated customer service experience with strong phone etiquette and professional communication skills
- Familiarity with QuickBooks or bookkeeping experience is advantageous but not mandatory
- Ability to manage multiple responsibilities simultaneously while maintaining attention to detail
