We are seeking a highly organized and proactive Executive Assistant. This role provides comprehensive administrative support to senior executives, ensuring smooth daily operations and facilitating efficient project execution. Responsibilities
- Provide administrative support to the Executive Support Team under the direction of the Senior Executive Assistant.
- Answer, assist, and triage incoming phone calls and emails through a shared inbox.
- Assisting with special projects
- Preparing correspondence and documents
- Creating and editing PowerPoint presentations
- Coordinating travel arrangements
- Schedule and coordinate meetings and events, including logistics, materials, and catering setup/cleanup.
- Provide on-site meeting and event support and deliver a high level of hospitality to guests.
- Build and maintain strong working relationships with internal and external partners.
- Distribute notifications and communications to trustees, leadership, locals, chapters, and employers, as appropriate.
- Occasionally provide safe and timely transportation for internal and external guests to and from local airports and terminals.
- Learn core responsibilities of the Senior Executive Assistant role and provide backup support as needed.
- Troubleshoot assigned issues by gathering information and collaborating with vendors and internal departments.
- Perform additional administrative duties as assigned.
Qualifications
- 3 years of experience in an executive office or administrative support role preferred.
- High school diploma required; college degree preferred.
- Proficiency in Microsoft Office, including PowerPoint, Outlook, and OneNote.
- Strong verbal and written communication skills.
- Ability to work independently and manage multiple tasks with minimal supervision.
- Ability to work in a fast paced environment
- Excellent organizational, multitasking, and time-management skills.
- Ability to meet deadlines while maintaining a positive, flexible, and professional demeanor.
- Professional appearance and conduct in an office environment.
- Valid driver’s license and clean driving record required (driving record check conducted after conditional offer).
