The Inside Sales Coordinator will play a key role in supporting sales and purchasing operations by managing customer orders, coordinating product deliveries, and maintaining effective communication between internal teams, factories, and customers. Key Responsibilities
- Prepare and send invoices to customers and assist with the completion of business transactions.
- Enter and maintain purchase order (PO) details accurately in QuickBooks and Excel.
- Manage and coordinate sales and purchasing delivery schedules.
- Communicate with group factories to coordinate product procurement and with customers regarding delivery timelines.
- Arrange and manage product samples for customers.
- Provide high-quality customer service and maintain positive relationships with clients.
- Organize product packaging and shipping arrangements.
- Translate internal and external documents between Japanese and English.
- Serve as the point of contact for product procurement with the Mexico factory.
- Compile and report sales and order data to the Japan headquarters.
- Assist in preparing the annual sales budget plan.
- Maintain sales-related documentation to ensure J-SOX compliance.
- Conduct credit checks for new business partners.
- Languages: Business-level proficiency in English and Japanese; conversational Spanish is a plus.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Experience with QuickBooks Desktop or similar accounting systems is preferred.
- Excellent written and verbal communication skills and strong customer service orientation.
- Proven ability to manage multiple priorities with accuracy and efficiency.
- Strong teamwork and coordination skills across departments and cultural backgrounds.
- Understanding of both U.S. and Japanese business practices.
- High attention to detail with a proactive and organized approach.
- Ability to work independently and collaboratively in a fast-paced environment.
