SUMMARY
Partner Engineering and Science, Inc. is looking to hire a full-time Administrative Assistant in our Oklahoma City office. This will be a full time in office position. The ideal candidate will have a minimum of 2 years of administrative experience.
ESSENTIAL DUTIES & TASKS:
- Perform data entry following prescribed or established formats.
- Assist in the development of documents for proposals and reports.
- Compose and/or draft correspondences and reports.
- Track projects, proposals and any other related items
- Responsible for outgoing and incoming mail and faxes.
- Make travel arrangements, assist with calendar management and manage expense reports of senior leaders
- Answer incoming telephone calls and provide assistance, including proper transfers to internal sources.
- Greet and direct incoming visitors to the office or internal sources.
- Work on projects of various complexities from start to finish.
- Record minutes of meetings, as needed
- Self-manage and prioritize deadline driven tasks.
- Responsible for maintaining and ordering all office supplies
- Assist in the daily stocking and prepping of communal areas- conference room, kitchen etc.
- Other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES
- Advanced proficiency in Microsoft Office Suite including Outlook, Work, Excel and PowerPoint and Adobe Acrobat & Reader.
- Excellent verbal and written communication skills with strong analytical skills.
- Self-directed, organized, and able to work with minimum supervision.
- Ability to work within a team environment.
- Ability to adjust work schedule to meet deadlines.
- Be a versatile team player with the ability to flex between projects and work with urgency.
- Project a professional image both in-person and on the phone.
QUALIFICATIONS
- High School Diploma or equivalent required and 2-5 years of relevant office experience
- Bachelor’s degree with 1 years
PHYSICAL REQUIREMENTS
- Must be able to read, write, speak & comprehend English.
- Must be able to communicate clearly in person and over the telephone.
- Visual acuity adequate to perform job duties, including reading information from printed sources and computer screen.
- Requires frequent bending, reaching, standing, walking, sitting, pushing, and pulling exerted regularly throughout the work shift.
COMPENSATION:
The pay scale for this role considers a wide range of factors when making compensation decisions including, but not limited to, skill sets, experience and training, licensure and certifications, and other business and organizational needs. You may also be eligible to participate in a discretionary incentive bonus program which is dependent on various factors, including, but not limited to individual and organizational performance.
