Position Overview
Park Place Ltd is seeking a detail-oriented Title Clerk / Deal Processing Specialist to support the dealership’s accounting and vehicle administration functions. This role is responsible for stocking vehicles into inventory, processing vehicle deals, handling title and registration paperwork, and coordinating loan payoffs.
The ideal candidate is highly organized, comfortable working with financial documentation, and able to coordinate across departments including sales, finance, accounting, and vehicle inventory management.
Key ResponsibilitiesDeal Processing & Accounting Support
- Post vehicle deals into the dealership management system accurately and in a timely manner.
- Review deal jackets to ensure all documentation is complete and compliant.
- Verify deal structure including pricing, taxes, fees, trade information, and lender documentation.
- Coordinate with the sales and finance departments to resolve missing paperwork or discrepancies.
- Maintain accurate deal records and assist with monthly accounting reconciliation.
Vehicle Inventory & Stocking
- Stock new and pre-owned vehicles into the dealership management system.
- Ensure vehicle information including VIN, cost, reconditioning expenses, and inventory status is entered accurately.
- Coordinate with purchasing and sales teams regarding vehicle acquisition documentation.
- Maintain organized inventory records for accounting and reporting purposes.
Title & Registration Processing
- Prepare and submit title and registration paperwork to appropriate state agencies.
- Ensure all titling documentation is complete, accurate, and compliant with state requirements.
- Track title status and resolve title discrepancies or delays.
- Maintain proper records for vehicle titles and ownership transfers.
Payoffs & Lien Processing
- Process loan payoffs for trade-ins and purchased vehicles.
- Request payoff statements from lenders and verify accuracy.
- Ensure timely payment of payoffs and follow up to confirm lien releases.
- Track payoff status to ensure clean title transfer and deal completion.
Administrative & Compliance Support
- Maintain organized documentation for audit and compliance purposes.
- Assist accounting with deal reconciliation and reporting.
- Ensure adherence to dealership policies and regulatory requirements.
- Communicate effectively with internal departments and external agencies.
Qualifications
- Previous automotive dealership experience strongly preferred
- Experience with dealership management systems (Automate, Dealertrack, Tekion, etc.) preferred
- Strong attention to detail and organizational skills
- Ability to manage multiple deals and deadlines simultaneously
- Strong communication skills and ability to work cross-departmentally
- Basic accounting or bookkeeping familiarity preferred
- Proficiency with Microsoft Office (Excel, Outlook, Word)
- Ability to maintain confidentiality with financial and customer information
