Responsibilities
- Greet all visitors and callers in a professional, courteous, and respectful manner
- Provide prompt and thorough message handling and communication follow-up
- Manage front office operations including conference room scheduling, visitor coordination, and lobby presentation
- Coordinate catering needs and logistics for internal and client-facing meetings
- Ensure conference rooms are clean, organized, and stocked with necessary supplies throughout the day
- Process, route, and distribute sensitive and confidential documents with discretion
- Oversee the pick-up and delivery of engineering documents in the front office
- Minimum of 3 years of experience in a front office or client-facing administrative role
- Experience answering and routing calls using a multi-line phone system
- Strong professional presence with outstanding interpersonal skills
- Exceptional verbal and written communication abilities
- Proficiency in Microsoft Outlook for calendar management
- Proven organizational skills with the ability to manage multiple tasks and schedule meetings accurately
- Dependable, trustworthy, and able to handle confidential information with integrity
- Availability to work Monday through Friday, and able to work an 8-hour shift within the front desk coverage window of 7:30 a.m. to 5:30 p.m.
