Our partner in Birmingham, AL is seeking a Payroll Coordinator to join a collaborative team responsible for managing weekly payroll functions. This position plays an essential role in ensuring payroll accuracy, maintaining employee records, and supporting compliance with company policies and employment regulations. The ideal candidate is detail-oriented, organized, and committed to providing exceptional internal service.
Responsibilities will include:
- Review and verify employee time entries in payroll systems for accuracy prior to processing.
- Assist with the entry of bonuses, missed time, and retroactive pay adjustments.
- Maintain and update employee master files, including tax information, title changes, transfers, deductions, terminations, and direct deposits.
- Process and document payroll forms with accuracy and confidentiality.
- Conduct I-9 reviews and manage reverifications for expiring work authorizations.
- Verify new hires through E-Verify and process new hire and rehire setups.
- Maintain and update allowance spreadsheets for monthly processing.
- Ensure payroll procedures comply with company policy and applicable legislation.
- Serve as primary support for the payroll helpline, assisting employees with inquiries.
- Collaborate with HR regarding changes in employee status.
- Respond to verification of employment and unemployment inquiries.
- Maintain strict confidentiality of employee and company information.
- Participate in special projects as assigned.
- 2-5 years of experience in payroll processing or administration.
- Strong interpersonal, communication, organizational, and time management skills.
- Ability to work effectively with diverse personalities and maintain professionalism.
- Proficiency in Microsoft Excel, Word, Power BI, and Adobe PDF preferred.
- Familiarity with SAGE Construction and Real Estate, Sage HRMS, or similar payroll systems is a plus.
- Willingness to learn internal payroll procedures and adapt to evolving processes.
- High attention to detail and a commitment to accuracy and confidentiality.
