Executive Director of Church Operations
Palm Harbor United Methodist Church located in the greater Tampa Bay region on Florida’s west coast and passionate about Leading people to a life-changing relationship with Jesus Christ is seeking a highly motivated and engaged Executive Director of Church Operations.
The successful candidate will be knowledgeable about and have experience in church business and administrative operations, including financial management, facilities, and staff administration. The Executive Director of Church Operations reports directly to the Executive Council, working in collaboration with the Lead Pastor on setting vision and strategic goals, as well as enabling initiatives.
The ideal candidates will possess strong leadership, organizational, and financial management skills while aligning with the mission and values of the church. Candidates should uphold the highest standards of excellence professionally and personally. Candidates will collaborate with ministry leaders, staff, and laity.
Additional Selection Criteria for Executive Director of Church Operations
- Bachelor’s degree in Business Administration, Finance, or a related field (or equivalent experience).
- 3 to 5 years of experience in business administration or financial management, preferably in a church or non-profit setting.
- Exhibit spiritual gifts of leadership and administration.
- Knowledge of risk management.
- Knowledge of human resources policies and procedures.
- Knowledge of financial accounting principles, budgeting, and bookkeeping.
- Excellent organizational and time-management skills with the ability to manage multiple tasks and prioritize responsibilities.
- Strong interpersonal and communication skills with the ability to collaborate effectively with pastors, ministry leaders, staff, and church members.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in Microsoft Office Suite and church management software.
Executive Director of Church Operations Responsibilities
A major function of the Executive Director of Church Operations is to manage and oversee the operational aspects of Palm Harbor United Methodist Church, as well as to collaborate with weekday campus ministries to ensure administrative support and resource management.
Key Responsibilities:
Financial Management
- Execute and oversee the campus’s budgeting, accounting, and financial planning processes.
- Supervise and support the campus’s Finance Office staff.
- Oversee payroll, benefits, and insurance programs.
- Oversee the management of endowments, stock transfers, wills, and trusts.
- Ensure all documentation, including tax documents, is prepared in compliance with regulations.
Administrative Operations
- Oversee the operational aspects of the campus.
- Develop, maintain, and enforce campus operational policies and procedures.
- Act as a liaison to negotiate and recommend campus-related contracts, including those for banking and insurance, as directed by appropriate church committees.
- Negotiate and approve contracts and legal documents for campus events and vendors. Oversee the scheduling of all campus events in collaboration with the Director of Communications and Events.
- Oversee the coordination of church activities and programs on campus, including church, Worship Team, Children and Youth ministries, Adult ministries, Westlake Christian School, The Robin’s Nest Preschool, Stars and Comets, and Camp Cubber.
Facilities Management
- Oversee the maintenance and management of campus facilities and equipment.
- Ensure the campus is well-maintained and accessible.
- Supervise and support the Facilities and Maintenance staff.
Staff and Human Resources
- Support the recruitment, hiring, and training of church staff.
- Manage church employee benefits and ensure compliance with Human Resources policies and practices.
- Create, manage, and maintain personnel files for church employees.
- Manage and maintain job descriptions and annual performance reviews for church employees.
- Manage, update, and distribute the Employee Manual on an annual basis.
- Oversee the timely processing of background checks and fingerprinting of all church staff.
- Manage the documentation related to volunteers, vehicle drivers, and the Children and Youth Protection Policy.
Compliance and Reporting
- Ensure compliance with all applicable local, state, and federal regulations.
- Ensure reports are regularly prepared for church leadership, providing financial summaries and operational insights.
- Ensure the campus maintains its tax-exempt status and adheres to nonprofit regulations.
General Ministry Management:
- Attend weekly staff meetings and weekly/monthly meetings with all Directors as needed.
- Weekly approval of all invoices.
- Attend weekly Senior Leadership Team meetings.
- Attend monthly Board of Education meetings.
- Attend monthly Executive Council meetings as needed by invitation.
Employment Package:
This position is a full-time, 12-month, salaried, exempt position, and compensation is commensurate with experience. Palm Harbor United Methodist church offers a wide range of benefits, including paid time off, medical insurance, life insurance, and a retirement plan. Working hours are 40 hours per week, Monday through Friday, with occasional evenings and weekends required for special events, services, or meetings.
