Summary:

The Events Manager will provide a unified, strategic framework for all PCRF events. The role begins with a comprehensive audit of existing event structures to eliminate inefficiencies, followed by the execution of a centralized service model. The goal is to transition events from isolated activities into strategic tools for donor stewardship and relationship management.

This role will support the Outreach and Development team, with particular focus on the Chapters Unit and Strategic Outreach Unit, while also working closely with Development, Communications, Ambassadors, Development Services, and other internal stakeholders as needed.


Responsibilities and Tasks:

Phase 1: Event Audit & Strategic Recommendations (First 90 Days)

  • Conduct a deep-dive assessment of the current chapter-led and ambassador-led models to identify gaps in efficiency and effectiveness.
  • Audit the cost-to-revenue ratio of chapter events to determine which formats provide the highest net return for the mission.
  • Identify bottlenecks in the current workflow between volunteers, Chapter Directors, and the Development team.
  • Assess how attendee data is currently captured, or lost, and develop a post-event template that can be customized by event type.
  • Evaluate the visual and messaging consistency of volunteer-initiated events against the organizational strategy and branding guidelines.
  • Produce a “State of Events” report with recommendations, including:
  • A go/no-go framework for new event requests
  • Standardized vendor lists and procurement processes to save costs
  • A centralized 12-month event calendar to prevent donor fatigue and geographic overlap


For Chapters (Standardization & Coherence)

  • Develop a standardized event toolkit for annual volunteer-led events to ensure brand coherence and operational efficiency.
  • Serve as the strategic bridge between Chapter Directors and the Communications team to align event concepts and assets with the organization’s brand guidelines, voice, and existing assets.
  • Implement signal tracking to identify community donors ready for deeper engagement or transition to major gift portfolios.
  • Work with the Development team to capture event outcomes into customized donor journeys.


For the Ambassador Program (Post-Event Excellence)

  • Support the Ambassador Program in creating a calendar of events spread throughout the year with clear targets.
  • Work with the Development team to create and execute post-event stewardship plans to ensure no engagement is lost.
  • Develop a system to connect visibility to the donor journey, ensuring every ambassador-led interaction leads to a clear next step in the CRM.
  • Collaborate with ambassadors to use their credibility for warm introductions and curated donor moments.


For Development (Major Donor Intimacy)

  • Design and launch a series of intimate major donor events focused on cultivation and stewardship for principal and major gift tiers.
  • Manage logistics for curated donor briefings where Board members and the CEO can engage strategically with high-value prospects.
  • Ensure these events prioritize personalized interactions and timely follow-up to drive donor conversion.


Operational & Data Management

  • Create a centralized resource library as a one-stop shop for all event-related assets so units are not reinventing the wheel for every event.
  • Ensure 100% of event interactions are logged, allowing the Development team to see a donor’s full history across Chapters and Ambassadors.
  • Partner with Development Services to automate event-based giving data and reduce manual entry errors.

 


Qualifications & Requirements:

Education & Experience

  • Bachelor’s degree in communications, event management, nonprofit management, business, marketing, or a related field.
  • 7-9 years of experience creating and implementing events for nonprofits, preferably in the international NGO space.
  • Flexibility to work odd hours and weekends.
  • Creative thinker and detail-oriented.
  • Ability to work independently and take initiative.
  • Experience supporting donor-facing events, stewardship events, cultivation events, or other relationship-based event strategies.


Technical Skills

  • Strong event planning and event operations management skills.
  • Ability to develop systems, templates, calendars, and standardized tools for event execution.
  • Experience tracking event outcomes and supporting follow-up workflows tied to donor engagement.
  • Familiarity with CRM coordination and event data capture processes.
  • Ability to manage vendor coordination, logistics planning, and procurement-related processes.
  • Strong organizational skills with the ability to manage multiple event streams and deadlines.


Soft Skills

  • Strong strategic thinking and problem-solving skills.
  • Ability to identify operational inefficiencies and recommend practical improvements.
  • Strong written and verbal communication skills.
  • Ability to work collaboratively across teams and serve as a bridge between units.
  • Strong attention to detail and follow-through.
  • Comfort working with volunteers, staff, leadership, and external stakeholders.
  • Commitment to PCRF’s mission and vision.

Preferred Experience:

  • Experience working with chapter-based or volunteer-led event models.
  • Experience supporting ambassador, board, or high-net-worth donor engagement.
  • Experience in nonprofit fundraising or donor stewardship strategy.
  • Familiarity with branding standards and communications coordination in event settings.
  • Experience building centralized systems or resource libraries for cross-team use.


Position Type and Hours of Work

This is a full-time position. Work hours will generally align with organizational needs and event schedules. Some flexibility may be required based on event timing, stewardship activities, leadership briefings, and cross-team coordination.


Compensation

Salary range: up to $90,000, commensurate with experience and qualifications
