We’re looking for an Administrative Assistant who will work closely with the Operations Manager and Field Supervisor to ensure smooth operations both in the office and in the field. This role offers a unique blend of administrative responsibilities and hands-on support, making it ideal for someone who enjoys variety and is eager to grow within the company.
Compensation:$23 - $27 hourly
Responsibilities:Administrative Operations
- Coordinate with Property Managers for scheduling, special requests, and follow-ups
- Enter and manage work orders across platforms (Knowify & Monday.com)
- Set up new accounts and manage client proposals
- Review and approve subcontractor invoices weekly
- Track special projects and maintain accurate billing records
- Oversee inventory and supply requisitions
- Implement and maintain policies and procedures
Crew & Field Support
- Schedule and dispatch cleaning crews for apartment turnovers
- Conduct daily check-ins with crews and monitor punctuality and performance
- Assist with recruitment, onboarding, and training of subcontractors
- Maintain performance evaluations and bonus tracking
- Support quality control through inspections and occasional cleaning tasks
- Process and approve heavy cleaning requests and go-back follow-ups
- Assist with student housing planning and field logistics
- Act as a liaison for customer inquiries and complaints
- Help plan community events to promote brand awareness
- Strong organizational and communication skills
- Experience in move-out cleaning, janitorial, or related fields preferred
- Bilingual (English/Spanish) is a plus
- Tech-savvy with knowledge of Microsoft Office and the ability to learn new platforms
- Clean DMV and background check required
- High attention to detail and ability to manage multiple tasks efficiently
- High school diploma or GED required; some college preferred
- Customer service experience in a related industry is a plus
