Position Summary
AccuWeather is seeking a highly polished, proactive, and exceptionally organized Senior Executive Administrator to the Founder to provide high-level support. This individual will serve as a trusted partner in managing the day-to-day operations, priorities, communications, and scheduling demands of a dynamic executive office, while helping drive efficiency, follow-through, and professionalism across a broad range of internal and external interactions.
This role requires a seasoned executive support professional with sound judgment, strong business acumen, excellent written and verbal communication skills, and the ability to anticipate needs before they arise. The ideal candidate is resourceful, discreet, highly responsive, comfortable operating in a fast-paced environment, and able to work effectively with senior leaders, external stakeholders, and cross-functional partners.
The Senior Executive Administrator will help ensure that priorities are executed with precision, meetings and communications are handled seamlessly, and critical follow-up items do not fall through the cracks. This role is based on-site in State College, Pennsylvania and is best suited for a professional who thrives in a high-expectation environment and takes pride in delivering exceptional executive support.
What You’ll Do
- Manage a complex and ever-changing executive calendar, including scheduling, prioritization, confirmations, and coordination across internal and external stakeholders.
- Ensure meetings, follow-ups, correspondence, and action items are tracked and completed accurately and on time.
- Prepare, draft, edit, and coordinate executive communications, including emails, letters, summaries, and outreach to senior business leaders and external contacts.
- Serve as a key point of coordination for executive office operations, helping create greater efficiency, organization, and consistency in day-to-day support activities.
- Anticipate needs, identify gaps, and proactively resolve issues before they become obstacles.
- Partner closely with internal teams, including executive leadership, marketing, HR, and administrative support staff, to ensure alignment and smooth execution of priorities.
- Support executive outreach and relationship management with high-level business contacts, industry leaders, and strategic partners.
- Prepare meeting materials, agendas, briefing documents, and post-meeting follow-up summaries as needed.
- Help coordinate executive office workflow and delegate or oversee routine administrative support activities when appropriate.
- Maintain strict confidentiality and handle sensitive information with the highest level of professionalism and discretion.
- Bring structure and organization to evolving priorities while remaining flexible and responsive to changing business needs.
- Leverage modern tools, including AI-enabled productivity tools and digital collaboration platforms, to streamline work and improve effectiveness.
What We’re Looking For
- Significant experience supporting a CEO, founder, chairman, or other senior executive in a highly visible environment.
- Demonstrated success in a senior executive assistant, executive administrator, office-of-the-CEO, or comparable role with broad exposure to senior leadership.
- Experience managing complex calendars, executive communications, and multi-stakeholder coordination with a high degree of professionalism and accuracy.
- Strong judgment and executive presence, with the ability to engage confidently and appropriately with senior leaders and external contacts.
- Proven ability to anticipate needs, exercise discretion, and maintain composure in a demanding, high-accountability setting.
- Comfort working in an environment where priorities shift quickly and responsiveness, flexibility, and follow-through are essential.
- Experience drafting polished business correspondence and communications on behalf of senior executives.
- Strong technical fluency, including Microsoft Office and productivity tools; experience using AI tools to improve workflow is a plus.
- Exceptional written, verbal, and interpersonal communication skills.
