OrgMetrics LLC is seeking a highly organized, warm, and proactive Office Executive Assistant to support our owner and small-but-mighty team in Livermore, CA. We’re looking for someone who believes in our mission to shift to a collaborative culture in the construction industry, one project, one team, and one organization at a time.
This role is ideal for someone who thrives in a dynamic environment, communicates clearly, and takes the initiative in a learning environment. We operate a small business where the owner/facilitator travels frequently running workshops. We are searching for an experienced administrative professional who can supervise daily support operations, maintain efficient administrative procedures, and ensure both clients and staff feel served. Your work will directly support our Partnering practice and the project teams we serve.
Key Responsibilities
- Schedule workshops and coordinate client calls on behalf of the owner/facilitator.
- Manage and prioritize incoming emails; organize documents and digital files
- Manage schedules and deadlines
- Create accurate meeting rosters by comparing them with Outlook invitations
- Lead printing, scanning, and document prep for daily meetings
- Coordinate with project managers and internal team members as needed
- Monitor inventory of office supplies and handle purchasing
- Maintain organized spreadsheets, document folders, and workflows
- Support CRM data organization and updates
- Take on administrative tasks to lighten the load for others in the company
- Organize office activities, from event bookings to weekly office upkeep
- Archiving documents to hard drive
Skills & Experience
- Strong proficiency in Microsoft Word and Excel (desirable if proficient in Google Drive, Dropbox, Canva and InDesign)
- Experience with Outlook Calendars, Microsoft Teams, and Zoom
- Highly organized with meticulous attention to detail
- Strong typing skills with high accuracy and speed
- Skilled at scheduling, managing calendars, and coordinating logistics
- Comfortable managing emails and prioritizing tasks
- Experience working within a CRM system
- Experience in or exposure to the construction industry is desirable
- Knowledge of Certificates of Insurance, Contracts, and Proposals is desirable
- Bookkeeping experience is desirable

- Clear path from hourly to salaried position
