Summary Of Duties

As an Administrative Specialist 2, you will:

  • Help run the office smoothly by supporting daily tasks and assisting managers with business operations.
  • Make sure the office follows rules and policies, especially around facilities requests and safety.
  • Manage office supplies, equipment, and vehicles, and take care of maintenance or replacement needs.
  • Guide and support staff with their work and share feedback with managers to improve office processes.
  • Look for ways to improve how the office works and suggest changes to make things more efficient.
  • Represent the organization at community events by supporting setup, active participation, and post-event activities.

Minimum Qualifications

  • Three years of secretarial or administrative support experience that includes:
    • coordinating office procedures,
    • preparing narrative and statistical reports,
    • and administrative data collection and analysis; OR
  • An associate degree in general office occupations and two years of secretarial or administrative support experience that includes:
    • coordinating office procedures,
    • preparing narrative and statistical reports,
    • and administrative data collection and analysis; OR
  • An equivalent combination of education and experience.

We are looking for candidates with:

  • Experience working collaboratively across teams or programs in a leadership capacity.
  • Experience independently using critical thinking to make sound decisions and solve problems.
  • Experience providing respectful, responsive, and inclusive service to a diverse range of individuals or communities.
  • Experience managing projects or tasks using tools like Excel, PowerPoint, or other digital programs.
  • Experience clearly sharing information to various audiences both in writing and verbally.
  • Experience effectively managing workloads to meet deadlines and adapt to changing priorities.
  • Experience taking initiative to research, analyze information, and navigate administrative processes with minimal direction.

Preference will be given to candidates that are bilingual in Spanish and English.

Working Conditions

  • The primary work location for this position is the Collaborative Office in Medford (673 Market Street). Regular weekly presence is required in all district offices: Medford, Ashland, and White City.
  • Frequent travel is required to work in other district offices, and to attend meetings and trainings as needed. Some trainings may require overnight travel.
  • The work schedule is Monday to Friday, 8 am to 5 pm PT, with possible fluctuations based on service needs.
  • There may be occasional requirements for compensated overtime, including evenings and weekends.
  • Duties for this role will be performed in an office setting; some work may also be conducted in the community as needed.
  • You may work with individuals experiencing trauma or crisis, some who may have difficulty managing their emotions.
  • Quick decision-making may be necessary to ensure the safety of yourself and others.

  • A valid driver’s license and acceptable driving record are required for this position.
