What are the responsibilities and job description for the Missions Logistics Specialist position at Orange Lutheran High School?
POSITION SUMMARY
Reporting directly to the Director of Missions, the Missions Logistics Specialist serves alongside the Missions staff in a collaborative and process-oriented setting to plan, implement, and coordinate all travel planning (local, domestic, and international) and trip communication. This position will contribute to the overall Missions office operations and delivery of the Missions class curriculum.

ESSENTIAL DUTIES
- Collaborate with the Director of Missions and Missions staff in strategic planning and visioning for the entire Missions program and each component
- Implement plans and participate in mission trips, local engagement, and other Missions events
- Serve as a lead chaperone on mission trips and events, and primary contact with service sites
- Participate in conferences and community outreach to establish Orange Lutheran as a community partner and stay current with relevant developments
- Ensure proper policies and procedures are in place for mission trips
- Manage the Missions calendar and ensure the OLu calendar reflects relevant events and activities
- Provide input on future trips and generate online trip packets
- Manage all travel arrangements and communications for Missions events, including but not limited to:
- Ground transportation, flights, and lodging
- Food preparations, including determining menus, ordering and purchasing food, reserving restaurants, allowing for alternate diets and allergies
- Coordinate with the Missions staff to ensure payment for all services
- Providing sex-trafficking hotline information and awareness training
- Set up communication plans for staff, chaperones, and parents
- Coordinating all travel changes before and during trips
- Activating staff cell phones for international trips
- Work with operations to mitigate risk
- Reduce school liability while increasing safety for trip participants
- Investigate optimal travel insurance for each trip and purchase policies for each team member
- Discuss ways to improve Missions trip protocol with the school liability insurance representative
- Coordinate with the operations team in the contracting of all on and off-campus facilities and transportation protocols
- Collaborate with staff who create and manage all group lists for Missions Program events, ie, small groups, driving groups, project groups, airport groups, etc, before, during, and after all activities
- Ensure all tasks on a trip To-do lists are completed on time, reminding appropriate staff of their assigned tasks and deadlines
- Create agendas for all mission trip team meetings
- Compile and update handouts for Time Alone with God (TAWG) for all trips
- Lead coordinator for the summer Missions class retreat and the rest of the retreats
- Research potential camps for the summer retreat
- Communicates with parents of Missions class students to locate mountain cabins in which to hold rest retreats
- Arrange all transportation to and from retreat locations
- Partner with the Missions Financial/Administrative Specialist to ensure payment for all services
- Work with Missions staff to develop themes, curriculum, and schedules for the retreats
- Provide oversight of all Mission Program chaperone procedures and communications, including but not limited to:
- Develop a screening procedure for all first-time chaperones
- Present relevant information in chaperone meetings to ensure proper training and preparation of all volunteers before and during trips
- Compile and update the chaperone training and student training manuals for Missions trips
- Recruit chaperones
- Submit the Activity Request Form for each Mission program trip for approval by Admin.
ADDITIONAL DUTIES
- Develop a professional growth portfolio alongside the Director of Missions and the Director of Teaching and Learning
- Partner with Missions staff to develop class curriculum and instruction
- Rotate teaching in the Missions class
- Lead a Mission class small group
- Assist with the development and implementation of the student leadership program and mentoring of student leaders
- Create and compile chaperone and student evaluations
- All other duties as assigned

Education
BA or BS Degree in a relevant field
Experience
- At least 1 year of experience in a ministry environment
- Experience in Mission settings and/or careers
- Experience in Christian education preferred
- Classroom teaching experience preferred
- Construction experience preferred
