Job Description

Performs advanced accounting and administrative duties in the maintenance of accurate fiscal records and reports requiring initiative and independent judgement.

Work is performed with limited supervision and is reviewed for compliance with division objectives and policies for achievement of desired results.

Representative Duties /Assignments

Duties may vary based on area of assignment or responsibility.

Oversees and coordinates record retention requirements in alignment with local, state, and federal compliance.

Monitors vendor contracts and internal purchasing functions to ensure compliance with County regulations.

Provides day-to-day supervision of financial activities by all office employees and on-call professionals.

Trains employees to perform financial duties in a consistent manner with adopted and/or established policies and procedures.

Prepares, reviews and approves purchasing documentation such as credit cards, delivery orders, invoices, contracts, and change orders.

Processes travel requests and payment within the division.

Maintains all Travel Purchasing Card records while remaining compliance with all department established policies and procedures.

Acts as a liaison with external agencies and organizations.

Maintains files and statistical reports related to this program.

Tracks all financial expenditures for the Office of Emergency Management.

Manages all budget transfer requests for the Division.

Ensures all grant budgets are accurate and remain balanced.

Confirms purchases and receipt of equipment ordered and verifies billing and financial information is accurate.

Researches, analyzes, and evaluates programs, projects, and operational procedures.

Prepares annual Operations and Management (O&M) Budget for The Office of Emergency Management.

Administers contracts, including contract compliance, invoicing, financial data, payments and related administrative charges, and problem resolution.

Reviews contractor proposals and financial submittals for accuracy.

Alerts management regarding any abnormalities associated with contract compliance and operations, incorrect financials, and abnormal data and trends.

Assists with planning, documenting, testing, internal customer service, and project management for current and future information systems operations and projects.

Performs other related duties as assigned.

Minimum Qualifications

Bachelor's degree from an accredited institution in Business Administration, Public Administration, Computer Science, or closely related field and one (1) years of experience in program management. In lieu of the degree requirements, additional relevant experience may be substituted on a year-for-year basis.

Pay Grade: 015 - From $25.00 to $39.98
