Description:

Duties & Responsibilities:

  • Greet and assist customers in a timely, friendly, and professional manner.
  • Answer telephones, direct calls, take messages and respond to emails.
  • Schedule appointments
  • Facilitate Rental Car Shuttle pickups and drop offs
  • Receive and issue a receipt for check and credit card payments
  • Ensure that work areas and customer waiting areas are kept clean.
  • Assist accounting with billing, with invoicing, credit, accounts payable and accounts receivable functions with daily back up support.
  • Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
  • Communicate with customers, employees, and other individuals to answer questions, disseminate, or explain information.
  • Inventory and order office supplies weekly.
  • Deliver messages internally and run errands as needed.
  • Working with multiple software systems daily depending on the tasks.
  • Help managers with jobs as needed.
Requirements:

Qualifications/Experience:

  • Positive - Takes Initiative
  • Organizational skills are key in this role
  • 2 or more years’ experience working as a receptionist/office assistant/accounting coordinator
  • Strong computer skills and highly proficient with MS Office Suite and able to navigate between other software systems depending on tasks
  • Previous experience working in the collision industry is a plus
  • Attention to detail
  • Team player with an energetic personality and great customer service attitude
  • Must be 18 years or older
